Multiple Company Locations - Created company names being overwritten by form submissions

SOLVE

I was calling the company:

 

ABC – Main – city (or street) depending on whether they had 2 offices in the same city Charlotte, NC or Raleigh, NC, for instance. 

 

When people are filling out their forms, they are entering thier company as ABC. So all of my contacts associated with ABC – Main – city are changed to just ABC – we no longer know which contacts are in which office. Or multiple offices are being created. 

Is there a way to fix this auto update on this field? Do I create a new "company (form)" field? It won't mess up the way we have the companies set-up but as 150-300 people register via forms for our monthly trainings I'll have to go in & compare the new new "company (form)" field with "Company" field. I guess that's better than having it change every month. 

The domain name is the same for all differnt locations. 
What about 
Company
Location (if Company has more than 1 location) - And create a location field to differentiate - this will potentially add more locations??
City
Address

 

Also - as our marketers are out marketing, I was trying to make it easy for them to see Company names to be able to add their notes to the correct company
Any ideas?

Hi @PLusk 

 

This sounds like a pain and there doesn't appear to be an easy fix.

 

I imagine you have auto-association (contats & companies) turned on in your portal settings which is why if you're using the company property 'Company Name' in your form then the contact will be associated to that that Company or HubSpot will create a new company if there is a difference.

 

You can read more on the automatic associations here.

 

It might be best that you turn off auto-association, however bear in mind that you will then need to either create the Companies in HubSpot if they don't exist and associate the contact manually, or if the company does exists already then manually associate the contact to the company.

 

Let me know your thoughts on the above and if you read the article on auto-associations.

Thank you, Matt. That's a good thought. 

I spoke with a rep and we came up with an if then potential work around - but it's still not going to quite work. 

 

I just created the form and had the company name as the only Company property. 

I used the contact properties for Address, suite, City & County. 

I will create an automation for companies with only 1 office - to pull in that info to the company info. 
If there is more than 1 office, I'll figure something else out.
