Senior Enterprise Applications Administrator

Primary Purpose of the Job

The Senior Enterprise Application Administrator is responsible for managing and optimizing enterprise applications, with a primary focus on HubSpot CRM and ERP systems (including assistance with the implementation of Sage ERP). This role will lead data integrity, workflow automation, integrations, and strategic enhancements, ensuring seamless operations across platforms. Additionally, the administrator will play a key role in vendor management and collaborative decision-making within the IT team.

 

Supervisory Responsibility

Does not directly supervise team members.

 

Essential Duties

  • Manage HubSpot CRM by overseeing user administration, data integrity, workflow automation, reporting, and system optimizations. Leverage automation and AI where possible to enhance performance.
  • Support existing ERP systems and contribute to the implementation and integration of Sage ERP as part of an organization-wide consolidation strategy.
  • Ensure smooth data flow and connectivity between enterprise applications, proprietary systems, and third-party platforms. Work with APIs and integration tools to maintain seamless operations.
  • Identify opportunities to streamline workflows and automate processes to improve efficiency across departments.
  • Act as the primary liaison with HubSpot, ERP providers, and other enterprise software vendors. Work with account managers to enhance systems in alignment with business needs.
  • Work closely with IT leadership, business stakeholders, and other departments to translate business requirements into technical solutions.
  • Monitor and maintain application performance, troubleshooting issues and ensuring system stability.
  • Assist in training users, promoting adoption, and ensuring a smooth transition during system upgrades or new implementations.
  • Ensure enterprise applications follow best practices for security, access control, and compliance with relevant regulations.
  • Develop and maintain dashboards, reports, and analytics within enterprise applications to support business decision-making. Ensure data accuracy, provide actionable insights, and optimize reporting processes for efficiency.
  • Maintain up-to-date documentation for system configurations, integrations, and processes. Establish and enforce best practices for data management, reporting, and system usage across the Organization.

 

Required Skills

  • Strong expertise in HubSpot administration (certifications are a plus), including experience with HubSpot APIs and integrations.
  • Hands-on experience in ERP administration, including supporting legacy ERP systems and implementing new platforms like Sage ERP.
  • Familiarity with integration tools and methods (e.g., API-based integrations, middleware solutions and automation platforms).
  • Experience in data governance, workflow automation, and process optimization.
  • Basic scripting and database skills (SQL, Python, JavaScript) are a plus.
  • Strong problem-solving and analytical skills, with the ability to identify and resolve system issues efficiently.
  • Excellent communication and collaboration skills, capable of engaging with both technical teams and business stakeholders.
  • Proven ability to work in a collaborative decision-making environment with IT leadership.
  • Experience in vendor management, contract negotiations, and working with external account managers.
  • High adaptability to evolving business needs, with a strategic mindset for enhancing enterprise applications.

 

Required Education and Experience

  • Bachelor’s degree in IT, Computer Science, or a related field or equivalent experience.
  • 5+ years of experience in enterprise application administration, with a focus on HubSpot CRM and ERP systems.
  • HubSpot certifications preferred but not required.
  • Other relevant certifications (e.g., ITIL, PMP, ERP-specific certifications) are a plus.

 

Physical and Mental Demands

  • Prolonged periods of sitting and standing at a desk and while working on a computer.
  • Ability to lift up to 10 pounds on a regular basis.
  • Regular and predictable attendance.
  • Regular interaction with other team members, including spontaneous and planned video meetings.
  • Ability to effectively perform responsibilities under occasionally stressful situations, including meeting daily, weekly, monthly, quarterly, and/or annual standards and workload expectations.
  • Ability to work any shift and required overtime based on business needs.
