JOB DESCRIPTION

CRM Data Quality Management (HubSpot & Internal System)

  • Enter and update records (contacts, companies, deals) accurately and efficiently.
  • Monitor for duplicates, bad data, or missing fields—and clean up regularly.
  • Maintain consistency across lead statuses, lifecycle stages, and properties.
  • Support list segmentation and contact management for marketing emails.
  • Email outreach management, email templates and building sequences to support seller outreach.

Sales & Marketing Support

  • Track campaign activity, follow-ups, and basic engagement metrics.
  • Assist in building and auditing reports for pipeline reviews, campaign performance, or leadership visibility.
  • Support preparation of client-facing proposals, pitch decks, and related documentation—ensuring they are accurate, on-brand, and professionally presented.
  • Help coordinate internal calendars, marketing events, and project tracking tools.
  • Create and maintain documentation for CRM, sales, and marketing processes.
  • Learn and adapt to new software tools as needed.
  • Clean up and standardize sales PowerPoint decks to ensure they are client-ready and consistent with brand guidelines.
  • Assist in the creation of tailored presentations for live sales opportunities, collaborating with sales team members to reflect prospect-specific insights and needs.
  • Maintain accurate and up-to-date information in vendor CRM portals, ensuring proper visibility and compliance with partner reporting requirements.

Reporting & Organization

  • Help update reports or dashboards for sales/marketing visibility.
  • Audit reports and flag any inconsistencies or data gaps.
  • Keep internal folders, shared docs, and lists organized for team access.

Operational & Process Support

Calendar & Meeting Management:

  • Schedule sales/marketing syncs, campaign launches, internal reviews, and customer calls.
  • Ensure agendas are set and follow-ups happen.

Documentation:

  • Maintain SOPs, naming conventions, meeting notes, playbooks, and campaign recaps.
  • Ensure the team always knows where to find “how we do things.”

Internal Coordination & Communication

Inbox & Message Management:

  • Monitor shared inboxes or LinkedIn/company social DMs.
  • Route inquiries to sales or marketing team members appropriately.

Sales Enablement Support:

  • Help keep templates, decks, and collateral organized and accessible for the team.

Culture & Team Support (Even Remotely!)

  • Help reinforce consistent standups, check-ins, and monthly reviews.
  • Track wins, birthdays, or sales goals hit.
  • Coordinate small team moments like virtual lunches, gift cards, or shout-outs.

IDEAL CANDIDATE

Must-Have:

  • 1–3 years of hands-on experience with HubSpot CRM.
  • Prior experience in a support, administrative, or coordinator role—especially in a sales or marketing team.
  • Strong attention to detail and a love of clean, accurate data.
  • Organized, dependable, and self-motivated with solid written communication.
  • Comfortable juggling multiple tasks and tools in a fast-paced environment.

Nice-to-Have:

  • Familiarity with vendor CRM portals and marketing automation tools.
  • Experience supporting proposal creation or client-facing presentation development.
  • Exposure to remote team environments and modern collaboration tools.
