How often do you clean your contacts database?
We’re in a data-driven era, where datasets are shared between marketing, sales, and customer service teams to increase organizational effectiveness and facilitate alignment. When you have high levels of inconsistent data, it’s not just one team taking the hit. It’s everyone. The entire company. The fallout from that bad data extends to every corner of your business that the data touches. With that in mind, how often do you currently audit and clean your contacts database? Once a month? Every quarter? Once a year? What does the process look like? Share your thoughts and current schedule.
In my opinion databases must be checked, cleaned and updated constantly. For example, they should be checked every 3 months to remove those we don't need and focus only on those who are really interested

Quarterly: Ccleaning database every 3 months is a good practice. This ensures you're not holding onto outdated or incorrect information.
Annually: For smaller businesses or databases that don't change frequently, an annual review might be enough. But if your contacts are frequently updated or added to, quarterly cleaning may be more appropriate.
After Major Campaigns: If you're using your contact database for email marketing or a similar campaign, it's a good idea to clean up the database right after the campaign, removing invalid or unsubscribed contacts.
Cleaning your contact database is importnant to allow for easier time management and efficency. This should be done quartely, or every three months. This ensures all the correct information is there as well as outdated and innaccurate data removed.
The hubspot marketing hub software certification course suggested cleaning your database every quarter. I think this is a good rule, especially for a business with a lot of contacts. It could be difficult to get rid of all bad contacts in just one go. Meaning it could be helpful to go back at the end of every quarter and get rid of unqualified leads. To determine unqualified leads, a company should examine it history with a prospect. Did the prospect open emails, did they click on links, did they ever engage in any further communicaiton after inital acqusition? If a prospect never showed any further interest in your company after inital communication, it is safe to say that they are not a qualified lead and should be removed from your database. Or, lets say you have an old customer that has not made a purchase in maybe years. This former customer may no longer fit your customerbase and has no further interest in your products or services. Looking through customer history will tell you whether or not to let this lead go.
We currently clean our contacts database quarterly. Our process includes removing duplicates, updating outdated information, reviewing segments, and archiving inactive contacts. This regular cleanup ensures that our data remains accurate and useful across all teams, helping everyone stay aligned and reducing the impact of bad data.

Every quarter is suggested but I would evlaute it more if you have more turnover within the company because you may have contacts in there that no longer serve anything and need to be removed upon removal from the company.
