organise/arrange contacts on company record

BradCarter

I'd love to be able to arrange contacts on a company record in order of importance or relevance to the record. Sometimes we have more than 5-10 contacts associated with a company and it would be ideal to arrange them so that the top contacts relevant to the company were shown on the company view without having to click through.

Hi everyone, Lily here from the HubSpot product team 👋

Thank you all for the contributions and continued feedback in this space. Over the last year we've added the ability to customize your record pages more deeply and will continue to invest in this space next year, including within the right sidebar. Stay tuned for more updates here!

In the meantime, here are some updates we've made to help you display the right information in the middle column of a record page. Note: you must be ungated to the CRM Record Page Editor (currently in public beta, accessed via the Product Updates page).

Association label list: displays a list of associated records organized by their assigned association label. This allows your to display your associated records by association label; you can choose to show all, or just some. Card + Card settings:

Association table + quick filters: displays a table of associated records and the records' properties, as well as customized default filters. This allows you to easily filter on a property like "Lead Status" right from the middle column card. Card + Card settings:

If you have access to development resources, check out our UI Extensions beta (currently in public beta, accessed via the Product Updates page).

Within this beta, there are additional customization options available such as applying a default sort or a pre-filtered query to your association table to filter the data by specific values of the associated records. This allows you to create an association table that only shows associated deals with a deal stage of 'contract sent'. Card:

Hello HubSpot Community,

Thank you as always for your continued feedback, it helps us build a great product. We've investigated and researched this request and at the time this is not something we're prioritizing to build into HubSpot.

As always, we're constantly evaluating and re-evaluating our priorities to deliver as much value as possible. So, I could certainly see a day in the future where we address something like this, but we do not have a timeline on when that may be. Keep the use cases and ideas coming though and we will update this post as we make progress!

Hi everyone, I'm a member of the HubSpot product team. Thanks for filing this issue @BradCarter, it was an interesting one to stumble upon. I'm doing research on this exact problem right now and I'm looking for some help from you all.

What do you consider to be "important or relevance" when it comes to this type of sorting? What attributes or data points tell you that one record is more important than another associated?

Feel free to add your examples or use cases as comments, as this is a problem we're currently keen on solving on the CRM record pages.

Completely agree. Either being able to pin key contacts so they appear at the top, or have associations ranked would be a huge help. With some companies having a large number of potential contacts it is time consuming to have to page through contacts to find the right one.

Yes please, we really need this and would save so much work!!

Bumping this thread - it's kind of crazy we don't have any control of who is displayed in company view.

Currently it's sorted by "Create Date". At a minimum, I would expect it to be sorted by "last activity" or something more relavent

This is something that is absolutely necessary for an organized contact record! I don't know why this hasn't been developed or made available to people. It's severely limiting. Even just giving us the ability to manually sort/order what contact we want displayed first (like click and drag in an edit view, then save that new order), would be such an improvement!

I had this great idea too....when I open a company card, I want the primary contact to be listed first, and then if I want to view more contact asscociations I can click the SHOW MORE button. But why would Hubspot make it more difficult for me to see the primary contact? I love the idea of let us choose how to sort the list. Ideas could include most recently engaged, most recently contacted, by role.

I had hoped that there would be something related to customizing contact displays (order/date/primary/etc) mentioned at the recent HubSpot INBOUND2023 conference, but there was not. The only known hack around this is:

-the contacts are listed in order of creation/data load

-have your IS teams (with direction) reload the contacts in the order you want them, to match the order of the data load in, via API

-has to be reloaded any time changes are made

-this requires a great IS team to help you manage this solution.

Appreciate the comment. Luckily, I can manage work without the hack. So,
it's not been high on my urgent list. But I appreciate knowing there are
some possible ideas that could make this work. And if there is a way, then
perhaps Hubspot will consider adding it.

@Dylan Any chance you're likely to ever review this? its been more than 2 years since it was 'not currently planned' and consistently lots of your customers are asking for it to be added. As the original poster its sad to see that something requested over 4 years ago that should be simple QoL inclusion isn't being given the time of day.

Hello Lily,

Thank you for that update. Unfortunately the changes to the middle pane doesn't help me.

I really need to be able to order the contacts in my preferred order.

It's the number 1 painpoint and I am wasting so much time scrolling through pages and pages of contacts to find the ones I need just so I can copy their email address and send a group email to them. And that 20+ times a day.

I look forward to a proper solution. You would think that a CRM would allow you to find relevant contacts more easily and that you consider those customers who use the Company view as their main view as this provides a holistic point of overview of all interactions with anyone of that company.

@LRosenbloom Hi Lily, Thanks for the update and for reviewing this item. I hope we can all look forward to seeing something included soon.

More customization options with fewer clicks for everyone without the ned to switch view panes makes it so much easier across remote teams to ensure that everyone can see and contact the correct people at a glance.

I'd be happy to provide more feedback on ideally how I think this could work if you'd like more detail.

This feature is very desirable and would make the work with the CRM much better for all users.

We have currently following issue: Before we switched to ServiceHub our Service team used another solution. We now want to import the old tickets from that solution to HubSpot however the old tickets are now shown above the newer ones which had already been created within HubSpot so the users do have to look into all tickets of a contact to see the newest ones in some cases. By being able to sort the tickets by create date by default instead of the engagement id would solve that problem. For other use cases it would hlp as well.

Hi,

I see this is a very old thread, but nevertheless I would also like to see a functionality where we can sort the contacts connected to a company, as many times we have +5 contacts and the view is very messy and the main/prioritised contact is anywhere in the list, with no specific order, makes it difficult for reps to prioritise the right contacts and happens a lot that we spend a lot of time on the de-prioritised leads.

We got tips from a HS sales rep to start using lead score, which we have done, so it would be great if contacts could be sorted based on lead score. It would make a lot of sense, not having random contacts on top of the list.

Best,

Johanna

I like that idea about sorting by a lead score too! Thanks for sharing

this feels like an obvious, necessary, and low-lift improvement. it's beyond frustrating to disqualify half the contacts associated with a company but be forced to look at them, at all, but also within the first 4 on the list. what I want is the ability to select which and how many contacts even show up on the right sidebar menu, while the rest can remain associated, but not visible from that page.

Almos 300 likes and still nothing, loos like companies have only 3 or 4 contacts... i hope hubspot make this feature soon, would be really helpfull

This seems like such a basic idea that it amazes me that Hubspot has not responded after having the suggestion here for years.  I have companies with 15 to 25 contacts & it is time consuming shuffling through the list to find the right contacts.  A CRM is about time efficiency, among other things.  It does not help if it takes 5 minutes to sort through the contact list.
