When implementing HubSpot CRM for the private education sector, it’s essential to strategically structure your account to meet your business's unique needs. Achieving this requires a deep understanding of HubSpot’s products, packages, and the platform's internal and external capabilities to ensure a proper setup. From basics like defining teams, departments, and user privileges to more advanced setups—such as integrating critical apps and designing workflows and automations—these foundational steps are crucial for maintaining a healthy and effective HubSpot account. In the private education sector, considering the entire student journey—from registration through approval to admission—is key to unlocking HubSpot’s full potential. By doing so, you can effectively monitor the admissions process from initial inquiry to final enrollment. Next, we focus on an important aspect: utilizing HubSpot’s tools for student data collection and segmentation. Below are a few tips from our work with an education group consisting of three different schools based in Saudi Arabia: Step#1: Advanced Data Collection Organize collected data in a way that provides valuable insights into capacity, stage occupancy, and educational paths, optimizing target monitoring and achievement goals. Step#2 Utilize custom properties to gather additional data and insights. Here are a few examples: 1. Custom Calculation Property: Create a custom property linked to the Contact Object called "Custom Calculation," which aggregates the number of students parents indicate they want to enroll on the form. 2. Multi-Check Box Property: Add a custom Multi-Check Box property associated with the Contact Object to allow parents to specify the grade level. 3. Radio Select Property: To optimize follow-up, introduce a Radio Select property, asking parents for their preferred call-back time. 4. Create "Single-line text" associated with the Contacts object for UTM tracking. Insert this field into your form and mark it as hidden to capture and break down your campaign sources and mediums. These properties help evaluate registration potential, enable the sales team to send tailored proposals and offers, and provide insights into growth opportunities and target achievement.
