I've seen numerous issues where HubSpot users are having issues with the "Send submission email notifications to owner."   When a user fills out this form and becomes a contact, they may not have a contact owner. In many cases, there are a number actions that take place in order to set a contact owner after a form submission. For example, a form submission may store data that puts a contact in a list, which enrolls them in a workflow, which sets the contact owner property.   This is an issue because this setting looks for a contact owner immediately. In many cases, this is before a contact owner can be set, and so emails are not sent. I'm suggesting a brief delay to the "Send submission email notifications to owner" that checks for contact owner after 5 - 10 minutes or so to send them email, rather than immediately. This would give the contact time to have a contact owner assigned in many cases, and improve the experience for our customers. ... Mostrar más

The CRM Extension Cards are great for displaying external data associated with a HubSpot record and enabling features around this data (eg update forms via Hubspot enabled Iframes) . Using the API’s the CRM extensions can also update the underlying record accordingly.  Example being a calculator of some sort that may need to update a deal amount or a contact search, of another database, to extract some contact related data to be updated in the contact record.  However,  any updates performed by these cards are not reflected to the user until the underlying records is reloaded in Hubspot. This is confusing to the users and the only way to mitigate this is by asking, via a prompt,  that the user to  manually refreshes their browser e.g. F5 their current page! This implies to the user that the card and Hubspot Integration they have installed, and possibly paid for,  is not of an expected standard whereas the ability to automatically reload is simply not available.   Note: Client-side coding to reload the parent of the CRM Extension Iframe via  location.reload() method or alike is not permitted from an iframe of a different domain i.e.  browser cross-domain restrictions.   My preferred solution would be an enhancement to the window.postMessage by adding a  “close and reload” option. ... I am looking for a way to incorporate the contact owner as a hidden field on some of our forms, however, this field is not able to be included on forms. It doesn't make sense to create a custom property when there already is one that satisfies the need. The purpose for including this field as a hidden field on some of our forms is that when the forms are received over email, the people receiving the form (Customer Service or Estimating group for example) would be able to see who has been working with the contact. Working with HS support, the following work around was provided - create a simple workflow where the enrollment trigger is anyone who fills out this particular form and then send an internal email to your team with personalization tokens that have the listed contact owner for the contact   However, in our case the Customer Service and Estimating do not have access to Hubspot, so when the form comes in over email we have likelihood for multiple people working the request. The contact owner already gets notified of form submissions.   Second workaround suggested by HS suport is to create a contact-based workflow where the property value copies over to the new property so that they are in sync. I plan to do this second suggestion, but wanted to voice this seems ridiculous and completely redundant to me - I have to create a "custom" contact property for Contact Owner that will sync with information that already is showing in a "locked" property. There is so much room for problems with this and it being a maintenance nightmare. Love the new commenting feature on Notes, however, it seems that in order to get a notification when someone comments on a note you left, you either need to: a) be following the contact.  OR b) the person leaving the comment needs to tag you again.  Is this correct? Feature for role: All Sales Team users of the CRM. Goal: Store private company files, like contracts, without exposing them to the public. Value: It will make HubSpot more convenient to the Sales Team as they can store sales-related documents on HubSpot instead of our Company intranet. Examples: Yes, Salesforce and most CRMs have this feature. Overview In the HubSpot CRM, all File Attachments are stored in the CMS File System. These files are stored in a PUBLICLY ACCESSIBLE CDN--with a URL like http://cdn2.hubspot.net/hubfs/account-nummber/file-name.pdf These files will be INDEXED by Google, which makes them searchable to the public. That means that your competitors or someone malicious can search Google for interesting documents that you've uploaded to your CRM. This is not a problem for documents meant to be accessible to the public. However, this is a BIG PROBLEM for documents, like Contracts, or private company memos NOT meant for the public's eyes. HubSpot's suggested workarounds are not sufficient. Try explaining the following to the Sales Team: 1) You may use "Upload File" but 2) You MUST NOT use Add file -> Upload file (those 2 buttons are right next to each other). Oh, and 3) You can use Add File -> Upload a File -- but only if you place it in the correct folder and only if that folder has a Robots.txt file that is correctly configured.  If you place it in the wrong folder or someone deletes or misconfigures that robots.txt file, you are out of luck.   The CMS file system allows you to select from DropBox or Google Drive. However, instead of just inserting the link to DropBox or Google Drive, the CMS File System copies the file over to the CMS File System, making the file indexable by Google and searchable and accessible by the public. Our company quickly came to the conclusion that if we wish to keep our PRIVATE COMPANY DOCUMENTS as PRIVATE, that we could not allow the Sales Team to use the HubSpot Attachments widget. SUGGESTION: Please provide an attachment system that is made to store and organize all attachments in a manner requiring authentication. This should be a separate workflow from storing attachments meant to be distributed to the public. In addition to a CMS File System (meant for public distribution), we need a CRM File System meant for private company files--a systems that provide authentication at a minimum, and possibly authorization (permissions) somewhere down the road. It would be helpful to have a CRM file widget that allows you to insert a link from DropBox, Google Drive or AWS WorkDocs--not copy the file, just provide the link. That way, the CRM users would have the ability to allow this 3rd party service to provide access control. Lastly, we need a way to Turn OFF, or control access to the CMS File Widget.
