Our team is needing a way to limit which units a particular user or team is assigned to. For example, if we have a team member who does support for one of our units and not another, I need to find a way to limit their access only to the unit they support.   Ideally, we'd be able to create roles for units and assign them to users based on which team they're a part of at our organization.   I'm not seeing any work-arounds for this, or any way to assign a user to a particular unit, which is somewhat disappointing and defeats the purpose of much of what we needed business units for. ...read more

Currently, a user can be a 'primary' member of only one team. The user can be added to other teams as an 'additional team member', but many team features are unavailable to these 'additional' users (see list of restrictions below).   This is problematic and causing us considerable pain because some users need full access to multiple teams, e.g. an individual who is multi-role, or management/supervisory staff who need to monitor what goes on in the team. This is particularly true in smaller businesses. Hello community 👋 and product team ✌️   Background Today it is possible to create and pin your own custom views within contacts, companies, deals, tickets and more (lets use the word objects from now on). A HubSpot user may edit columns, filters and save these according to their own preferences.    A view 👀 can either be standard, created by me, or created by others (see picture and ignore Swedish content). Once a view has been created by me no one else can edit this view and save it for all users 👥 - instead they have to clone their own version of the view in order to change it.          Issue We are growing our company fast ⏩ and we want to be able to scale our staff up and down without it affecting the infrastructure of what we have created. If one staff member decides to quit and move on to a new company - and that staff member being a core creator of the views that all other HubSpot users in our portal uses - we could be in big problem.   Why? All these views created by others can be pinned to my default view. I will have a standard set of up to 5 views in my portal that I will use in my day to day management. If the staff member that created that view quits users could be stuck 🔒 with old standard views in their pin bar without knowing.        Idea for solution (proposal for the product team) 🤗 There are several ways to solve this issue. Some better than others. I would really love them all to be delivered 👍 but as we all know thats not always possible.    A) Make it possible to pass ownership of a view Make it possible for a view owner to pass the ownership (and there by the uniqe rights to edit the view) to an other HubSpot user of the same portal.    B) Make it possible to collaborate in creating standardized views Make a setting so that a view can be collaborated on by all HubSpot users. Once a change is made by once user it will affect all others. Perhaps a small information box upon saving the view informing the user that it will affect all other accounts.    C) Make it possible to set up ownership of a view to a team Make a setting so that a view can be collaborated on by a specific team of HubSpot users. Once a change is made by once user in that team it will affect all other users (in the team or not). At the moment the access controls are quite limited, and entirely on the user side, rather than the content side. The only controls are whether a user can see their contacts, their team's contacts, or all contacts.   Sometimes you want a contact/company/deal to only be visible to certain people (e.g. their owner), and currently there is no way of doing that. You can utilise teams to make it so that all contacts assigned to a person or team are only visible to that person or team, but there is no way for this to be set on a per contact basis.   This feature would make it much easier to control access and improve security and compliance. Hello everyone, we are relative new to Hubspot, and we came from another CRMs software that are more "restricted" in allowing users to delete information. We know there is the option in Hubspot to restrict user permission to delete objects, like tickets, contacts or deals. However this is only a part of the equation, because they can still delete everything there is inside each object.   So far, we have tried 2 scenarios:   1) Make all users "View Only" - This scenario almost solved the problem for us, because with View Only permissions, a user cannot delete any "e-mail, note, os calls" inside the object. The only issue with that scenario is that is not possible to change the object status, like a ticket status for example, move through the pipeline, etc. So we had to throw away this idea.   2) Set all users to Edit only those objects they own. Is this case there is some level of security, because if a user own a ticket he can move through the pipeline, and other users cannot delete any information inside. However it's still possible for the owner to manipulate the recorded information inside, like, deleting e-mails, notes or calls. This is the scenario we are using, however not ideal for the standards of security we are used to in our company.   So, what we would like to see as a feature: a check-box with "Allow users to delete activities and communications". Would be nice for Super Admins to be able to edit and save any existing view, regardless of the owner/creator.  You can only edit the views that are "Created by me".   For example if one Super Admin creates a "default" view for users, and it needs to be modified/updated, no other Super Admin can edit that View.  They have to do a clone and save it as a new View.    Yes, you can clone the original which preserves the sharing, but if that View was bookmarked by any users, that bookmark is now broken.  Same if the URL to the View was provided via email.   The ability to also change the "Manage Sharing" on existing views would be helpful also.   Additionally, the "Created by others" list doesn't show who created the View, so no way to contact the owner to ask them to make a change.   *Also, there is no good corresponding "Label" for the idea category for Views. ...read more
