Context: As Leads come into Hubspot, we want our Sales Personnel to assign Leads to themselves, contributing to a healthy, motivational, and competitive environment. We encourage cherry picking so that the best leads are being responded to the quickest. We however, want Sales Personnel to assign a new Lead to themselves ONLY if they have 'fully worked' all other leads that they own. In other words, they can take as many as they want as long as it's one at a time and fully worked before moving to the next. The big goal/challenge is that we want to monitor this, and ideally prevent a Sales Person from assigning more Leads to themselves if they haven't met the criteria for having no 'unworked' Leads. Our definition for 'fully worked' is defined by the count of emails, count of calls, and potentially the count of logged SMS's or notes. **We should be able to set/adjust these custom thresholds at any time.** IDEAL SOLUTION Use a Dynamic List that filters to include all of an Owner’s Leads that are considered “unworked”. The “unworked” filter is defined by a certain threshold of the: – count of Emails (minimum 5) – count of Calls (minimum 1) – count of Notes/SMS’s Logged (minimum 1) When an Owner goes to assign a new Lead to themself, the system will check if any Unworked Leads exist that particular List. If none exist, the Owner can assign the Lead normally. If 1 (or another set amount) or more “Unworked” Leads exist in that Owner's List, then it would be nice if a Pop Up window appeared (at the point where they clicked "Save", indicating that they still have Unworked Leads. That window would list the Leads that are Unworked, allowing them to go directly to the Lead's Contact page. The window would also have a button, that gives the Sales Person an option to Declare an Exception and choose from a drop down list of a reason why they need to break the rule. This exception button should only be available if the Owner has less than 4 (or another custom amount) Unworked Leads. Otherwise, they will have no option other than to work their Leads first. Monitoring For Admins If a Sales Person Declares and Exception, this should be recorded in a way that let's an administrator review the following info: – the Sales Person / Contact Owner involved – the date and time an exception was declared – the reason that it was declared – the Contact that was being assigned at the time – the contacts that were “unworked” at the time Reporting: It would be nice to be able to view all this info in a Report. Workflows: It would also be nice to have access to this info via Workflows so that an email could be crafter automatically to the administrator, and also one to the Sales Person.
