Description: Currently, there is no way to get a full overview of where a specific user is involved within HubSpot. When deactivating or removing a user, admins don’t have visibility into which workflows, automation, or ownership assignments the user is part of. This can lead to broken processes and operational inefficiencies. Use Case / Problem: Many businesses need to deactivate users when they leave the company or change roles. However, without knowing where they are assigned, it is difficult to ensure that workflows, email sequences, and ownership structures continue functioning correctly. The user might still be included in workflows receiving internal notifications. They could be assigned as the owner of deals, companies, or contacts. They might be sending emails from their account within automated sequences. They may have specific team permissions that need to be reassigned. There is no way to track what objects, workflows, or records the user has created or updated. Proposed Solution: A panel similar to the "Used In" section for properties, where admins can see: When the user was created and by whom. Which workflows and automations include them. Where they are assigned as an owner. Which permissions and settings they are part of. A log of all records, properties, and workflows the user has created or updated. This would provide better security and control over user management, ensuring that all dependencies are reviewed and reassigned before deactivation, avoiding disruptions in workflows and automations. Who Would Benefit: Super Admins and HubSpot Admins managing user roles and automation. Large teams with complex workflows that rely on multiple user assignments.
