Hello Friends, I bring to your attention the fact that the File field type only functions as an actual File upload field IF you use it on a form.  Within the CRM, it functions as single-line text.  This is a significant limitation.   Here are some challenges that it presents: 1. Cannot enforce business process - One should be able to require a file to be attached to move along in Deal or Ticket stages.  This way you can ensure that a Deal or Ticket (or custom object) cannot progress to the next stage until the requisite Files are attached.  Consider a BDR > AE handoff mid-funnel. 2. Cannot support an approval workflow - if the above were true, then a document could be uploaded and "submitted" for review within a pipeline, which could serve as an approval workflow.  This request comes up often as other CRMs do this very well.  Consider a Change Order approval process, or an Invoice Approval process being built directly in the CRM! 3. Poor documentation - A completed Deal or Ticket record should have all necessary documentation attached to it in an organized manner that is reportable.  The Attachments association pane allows for attachments on records, but nothing of the above   I am really curious as to why this is not (yet) possible, but I believe that it would have a major positive impact on the user experience and allow HubSpot to stand up stronger against other CRMS where this is possible.  I would welcome an opportunity to hop on a quick chat with a member of the product team to talk through this use case and demonstrate the value that this would bring to the CRM. ...read more

It would benefit every business (mainly sales teams, sales managers, sales directors, and CEOs) to set up a business rule in the sales pipeline that asks the deal owner to attach a file in a particular deal stage that could sync in the deal's attachment. This business rule could add much value to the sales management process. The managers and directors wouldn't have to ask the reps if they uploaded a business proposal, contracts, SLA contracts, product demo presentations with a prospect, and any other document involved in the deal pipeline stage process. Setting this feature could be fantastic for every HubSpot partner and customer in management control automation.   Right now, HubSpot's logic in terms of file uploading, what it does in the deal pipeline is that whenever someone sets a file upload property, what is created is a simple line property to add a link. Still, the document link to be uploaded from HubSpot is not saved in the deal record but sends it to the file tool in the marketing module.    If you think this feature could be for your company, please vote for this business rule idea!   ...read more

Posting on behalf of a customer here: Would be great to have support for anchor links within PDF documents uploaded to the Documents tool - at the moment lengthier documents are usually made easier to navigate with a summary page, each chapter linked to the exact page.  However once uploading to HubSpot, the in-app preview does not allow for those anchor links to be clicked. ...read more

Sometimes when a deal is closed won, with an approved/sign quotes changes must be made (because of a sales misunderstanding or error) Even if the sales team create a new quote for approval, this old quote need to be canceled. Especially in the latter stages of the sales process, we are sharing Sales Documents with leads quite extensively.  Whereas the tracking and reporting on the Sales Document page itself is good - I can see a full list of who downloaded the document - the tracking and reporting on the contact page is very limited.    I propose to enable clicks on a 'Sales Document' to be used as a trigger (e.g. for a workflow) in the same way you can do this with Page Views.  This can then be used in a range of funnel activities, e.g.:   Enrol contact in a new workflow Populate a custom field on contact for e.g. 'Downloaded Document X' with value 'YES' to provide better visibility of whether or not a contract has downloaded the document. Allocate Hubspot Score points as downloads of these Sales Document is a major indicator for whether the lead is hot, or not. ...read more

Our sales team has switched over to using the Sales Pro Document tool to send document links to their clients via email. This is a really great tool however, outside of the document view window it's not possible to extract names and create a list and workflow of those who have viewed your documents. This prevents us from adding contacts to lists, campaigns and the ability to communicate with these clients based on their specific interactions.   Thank you! ...read more
