We use our restaurant menus in two ways with Hubspot. We have 10 locations with different menus. Our marketing team has a folder in Hubspot: MARKETING > FILES & TEMPLATES >>FILES >>>RESTAURANT MENUS Where we keep our menus up to date and use the link on our websites. Our sales team uses menus for events and sends the menus as documents to clients where they can review how many times the document has been viewed etc. Our sales team uses this folder in Hubspot: SALES >DOCUMENTS >>2022 RESTAURANT MENUS I was unaware that the sales team had old menus since I thought when I updated it on the marketing side, it was updated in sales. Come to find out they are different completely. GOAL: Is there a way to have one main resource in Hubspot that feeds both areas? Or is there a workaround for this that I am not aware of?    To clarify, it sounds like you're keeping your menu info separately on Marketing files and then also within Sales documents, and you're wondering if there's just one single best place to keep these?     I want to be able to update it only once.      Resources about these documents currently:  Upload and share documents Upload files to use in your HubSpot content In summary, the file manager is generally better used for internal assets that you intend to insert into your own content, while sales documents is generally better for content that you intend to distribute to clients. I'm not seeing a way to consolidate the items in these two different tools.   It depends on your needs, as you mentioned above with your two teams. If you want, you can stick to just one tool, but that also depends on how that might affect your teams as well   We need the ability to use an external link (for marketing) and the email viewing records (for sales), so I guess we keep it separate.  Not ideal, but if there is no other way, I'll have to do that.    VALUE: This would save us some time and potential issues with versions.    ...read more

Diesen Link habe ich in E-Mails und Formulare eingebunden.  Ich würde gerne das Dokument ändern, ohne in allen E-Mails und Formularen den Link ändern zu müssen. Currently when a visitor uploads a file on a form the link to the uploaded file is automatically set to private.   When sending form submission emails to 3rd parties they can not view the attachment, as it is uploaded with a private link.    In order to overcome this we need to manually change the privacy settings for every attachment. It would be great if there could be a setting to do this automatically (maybe set per form, otherwise general for all form uploads). ...read more

Include user/team permissions or business unit permissions for lists and files.   Currently, there is no way of hiding files or lists across all business units. This means that it can become messy and means that all teams have access to all assets, which can sometimes become a GDPR issue.   Allowing permissions on these would solve this problem. ...read more

The ability to export file uploads from form submissions that include contact properties and the ability to export more than 10 files at a time and also includes an identifier to the contact OR ability to export with selected properties.   Rather than open the contact go to the file upload property export the file and then copy-paste the corresponding custom properties — exporting 1 by 1 (over 1000 files) just isn't realistic and exporting 10 at a time with NO contact identification serves no purpose.      ...read more

It would be nice for HubSpot to build a feature into the File Manager that allows you to toggle on/off if you want to use the file name for the file URL or not.   Since the file URLs are used in several different places in HubSpot (snippets, marketing emails, landing pages, HubDBs, etc.), replacing the file does not break the links where it is used. However, since some of the revised files are from outside sources (not created by us), we can only change the file name to indicate that it's a revised version of the file -- we usually add the revised date at the end of the file name. However, when you replace a file AND rename the file in File Manager, it breaks the link everywhere the link is used. This is why, it would be nice to have a toggle that allows you to either use or not use the file name as the file URL.    Even though you can see "Updated" date, that date doesn't always mean it's the date the actual file was revised. Hi team, posting on behalf of my customer:   We are running a HubSpot hosted page that we have limited access for certain members only. We are looking to upload files from our file manager to these paages so that only our members can access the files, but at the moment, there is no way to limit the access of the file to be member only and we do not want our members to be able to share the url of the PDF with non-members.   Hence it will be highly beneficial if we can limit access to files, like password protect it, similar to what we can do with pages    thank you! ...read more
