I have been working with hundreds of clients in HubSpot for over 10+ years and user experience has been the top reason HubSpot is amazing. Though one thing continues to make this challenging and that is the main Sidebar menu HubSpot makes every user have without any ability to customize.   So simply put we want the ability to customize what shows on the sidebar based on things like Teams and Permission Sets. I'm working on a project that started with Production and a Legacy Sandbox. A lot...and I meant almost a full year...of changes went into that Sandbox. We used a 3rd party tool to attempt to move all the customization and configuration to Production. It wasn't great, but we worked through all the issues and misses.   Once Production was validated we created a new Standard Sandbox. Which was very disappointing because a large amount of the customization that has now been built twice (once in Legacy Sandbox and again in Production) did not show up at all in the new Sandbox.   I welcome all HubSpot users to use this thread to ask for a 100% replica of Production when building Standard Sandboxes going forward. Please use this thread to note anything that gets missed when you build your Sandbox and ask HubSpot to account for it.   The new Standard Sandboxes do not bring custom layouts down to the new Sandbox. This is a HUUUGGEEE miss for the project I'm currently on. We have massively configured Team layouts for Deals and so many Custom Objects.    While I'm pointing out things that are missing:   Teams Also the rules for which Teams can update certain properties were removed because there are no Teams? Now I have to go through approval properties with a fine tooth comb or risk overwriting them in Production when I deploy back? This has yet to be determined. Permission Sets Notification Presets In this particular custom solution and configuration, we relied on these items and their capabilities to provide a solution to the client. At the moment, the export permission is universal, meaning that if a user has an export permission, they can export literally everything out of Hubspot.   With rampant data breach via social engineering, this poses a great risk for organizations with a large amount of personal data stored in HubSpot.   Ideally, we should be able to choose what kind of data can be exported out of HubSpot. For example, only reporting or only companies but not deals and contacts, etc. If we can set this up per object, that would be perfect. ...read more

This idea request addresses the recent updates regarding the idea post: https://community.hubspot.com/t5/HubSpot-Ideas/User-permission-settings-for-the-Line-Item-editor-Quote-tool-not/idi-p/858742   Previously, when line item columns were edited, those changes would apply globally across the account. The recent update has altered this functionality, which effectively safeguards against non-admin users making widespread modifications.   Nevertheless, this feature was beneficial for larger accounts that require the ability to implement account-level edits without needing to coordinate with individual users for updates.   In light of this, we would like to propose a feature that enables admins to retain the ability to make account-level edits to line item columns. Implementing this at the settings level would greatly benefit large organizations, similar to the "record customization" tab available for other objects, allowing super admins to effectuate account-wide changes to these views. ...read more

I'm running into two annoyances as I'm trying to streamline the use of permission sets on an Enterprise account (reduce total number of sets with similar configs).   The first is that as I'm setting up a template, there is no internal warning of which features are "locked" to specific seats, like Core, Sales or Service. This means that as I've set up a permission set and add users, I'm blocked from doing so because they lack the correct seat. The UI has no hints as to what would need to be removed. This means I cannot easily edit the permission set to apply, and need to start over or guess what to remove (remove, try to add user, remove more, try to add again etc).   I can bypass this by adding users first as I'm setting up the permission set, and it will flag that the permissions cannot be saved (see image below).   Suggestion: Add a flag/hint even without added users for functionality that would require a specific seat beyond Core seats.   Screenshot from the UI when trying to add permissions requiring specific seat access if users are already added   The second is that permission sets don't easily work with seat use. I have two groups of users who need identical permissions. One on Core seats, the other on Sales.   Sales seat need additional access to edit/view tools and features locked to Sales enterprise.    Suggestion: Ideally, I'd have one permission set with toggles ON for all identical settings and the Sales seat only features (with flags/hints that some would not be availbale to those without Sales seat) and be able to apply to both groups. The seat would ultimately decide if they can access those additional tools; not that I'd need to set up two virtually identical permission sets and remember to move users between when they change seat allocation. ...read more

Desired capability Add a per-user navigation visibility setting for the new left sidebar that allows admins to hide or show: • Top-level sections (e.g., Marketing, Service, Commerce, Data Management) • Sub-sections within each section This should be configurable per user (ideally also via team templates), independent of permissions. Goal Give each role a clean, role-based workspace (e.g., only CRM + Tasks), improving adoption and reducing mistakes. Use case We have users who only need CRM + Tasks. Even when they have no permissions for other hubs, they still see those sections in the left nav. They click into them and hit blockers, dead ends, or “no access” screens—creating constant friction. Today, menu visibility is primarily permission-driven and does not fully solve this UI problem.     Impact / pain points • User confusion (“Why do I see Marketing/Service if I can’t use them?”) • Extra training + support overhead for basic navigation • Lower adoption for non-admin roles (HubSpot feels “too complex”) • More misclicks + wasted time navigating to areas they’ll never use • Risk of user error (users exploring the wrong areas, creating noise) • Hard to scale onboarding when each role needs a different, simplified UI Workaround today There are no current work arounds at this time that we know of. Right now, the ability to edit global default values for marketing email personalization tokens (Settings → Marketing → Email → Personalization tab) is effectively bundled with the Marketing email – Edit permission. That means: Any user with Marketing email – Edit can change account-wide default values for contact/company/owner tokens. There’s no way to let someone edit marketing emails but not touch those global defaults, unless we remove their Edit access entirely. For teams with stricter governance around copy/branding/compliance, this is too coarse-grained. The global defaults behave like an account-level configuration, but they’re controlled by a tool-level permission.   The request here is to add a more granular permission that specifically controls who can edit the global default values for marketing email personalization tokens, separate from the standard Marketing email – Edit permission. Super Admins and a small set of designated admins would be able to change the global defaults, while other users could still edit emails and set per‑email fallback values without modifying account‑wide defaults. ...read more

Would like a calendar that lets you see scheduled emails, blogs, and social posts and also lets you add "plans" for these items - so not yet scheduled, but when you plan to send/publish. Ideally, this would be able to be color-coded and you can filter and save the view of the items you want to see. And this calendar would be shareable across internal HubSpot users you select. Our team is needing a way to limit which units a particular user or team is assigned to. For example, if we have a team member who does support for one of our units and not another, I need to find a way to limit their access only to the unit they support.   Ideally, we'd be able to create roles for units and assign them to users based on which team they're a part of at our organization.   I'm not seeing any work-arounds for this, or any way to assign a user to a particular unit, which is somewhat disappointing and defeats the purpose of much of what we needed business units for. ...read more
