Team-/Role-based audience access to knowledge base
We are using our knowledge base for customers and for internal use.
The internal knowledge base has articles for different departments and not everyone is permitted to read every article. So, next to restricting access to private and a required registration we manually had to create static lists for our departments and add the associated hubspot accounts.
It would be much nicer and easier to maintain if restricted access to the knowledge base (registration and SSO) can be managed with teams or roles instead of lists only. Since every created hubspot account will be part of a team or rather has a role they can automatically be added to their corresponding knowledge base articles. This feature would improve the usage and maintenance of the knowledge base.
I have the same need to be able to restrict the visibility of certain private articles to only certain of our users (I'm not talking about contacts but Hubspot users) based on their role and/or their team to which they belong.
Eg. only users belonging to the Accounting team should have access to articles describing accounting procedures.
We tested using lists and it doesn't work to limit visibility with users (they continue to have access to all articles), only with contacts. All Hubspot users have access to all public and private articles including unpublished which is problematic.
Hi! We have the same case with internal knowledge bases for our teams, we need to create a list for each team and add contacts manually for each new member, Need to have a way to set articles to Hubspot Teams for users (CS team for CS knowedge base, OB team for OB knowledge base)
