Syncing zoom recording to contacts

Hi, 

 

Posting on behalf of a customer. Currently, the only way to sync zoom recordings with the contact records is to turn on the Only authenticated users can join meetings settin in Zoom. However, turning this feature on was preventing many people from attending the meetings. 


I would be great to have a feature whereby Zoom recordings could be associated to HubSpot contact records without having to turn this setting on.  (Or at least if associations with any identical matches in HS could be suggested to sync zoom recordings).

+1000 to that. We turned on Zoom + Hubspot + Hubspot AI (which is supposed to associate contacts to Calls), but no luck. For me also the Knowledge Base articles don't make clear that this association only happens if you use Hubspot Calling.

And yes, I also opted against turning on the authentication in Zoom, it would create a bad experience.

Jiminny  does the mapping automatically, so it's not impossible

Very much needed, it's difficult to have to rely on third party software or have to invest engineering resources to cover the hole in the integration.

In addition to this, the ability to choose or filter certain meeting types. Even if you turn the current setting on, it's still "all or nothing."

@MankaB @PSterkenburg Are you still experiencing this issue? We're experiencing something similar; on 3/28/24, our Zoom recordings stopped syncing to HubSpot. We've never had the Zoom authentication setting turned on for the same reason (poor user experience), so that can't be why the recordings stopped syncing.

 

We use ChiliPiper for our scheduler and believe that may have helped us circumvent the authentication before.

 

We also started using the Zoom Workspace Google integration on 3/15, which does allow for the circumvention to occur, but then competes with the ChiliPiper Zoom link (this is pictured below in a test meeting I created. The top link is through Zoom Workspace, and the bottom link is through ChiliPiper). In this test meeting, the recording synced when the meeting was held through the top link. However, deactivating and uninstalling Zoom Workspace did not fix the issue.

@carmenb Ooof, good question, and had to double check! I would say the mapping against Contacts/Companies is over 50% now, but I don't know if that is because people are better at doing the mapping manually, or if they use the Hubspot App for Zoom Meetings (warmly recommended either way), or if the integration and AI has gotten better in itself.

For context: we have had the Zoom Workspace Google Integration on for longer than that we have had the Zoom/Hubspot set-up, and we don't have the Zoom Authentication on.

@PSterkenburg Ok got it, thanks! Really interesting about the Zoom Workspace Google Integration, I need to keep diving into that. To confirm, you're saying that your Zoom recordings currently only sync to HubSpot 50% of the time?

No, all of them sync, it's the mapping against Contacts/Companies that is on around 50%
