Set User Availability by Meeting Type in Round Robin Team Links

Use Case:  Sales Team members need to set different personal availability for 2 type of Meetings which are scheduled via a Round Robin Team Meeting.

Ex:

Team Meeting link with Meeting Type of "Discovery" 

User 1 - only available for these meetings Mon-Fri from 1-5pm

User 2 - only available for these meetings Mon-Fri from 9am-12pm

The Availability settings on the Team Meeting set a filter for calendar scheduling across both users, and will show both users as available via this Meeting Link during the entire day if the meeting links' availabilty settings are 9am-5pm. 

 

Solution ideas:

1) allow users a personal setting for linked calendar availability by Meeting Type, which would be checked by the Round Robin meeting link when presenting available times, based on the Meeting Type entered for the Round Robin meeting link.

2) add a function to the Availability setting for the Round Robin meeting link whereby each associated user can have custom overrides applied to the Availability settings.

 

This is a functionality gap for HubSpot vs other Meeting tools such as ScheduleOnce and Calendly.

This would still be beneficial, we'd prefer not to go back to calendly and have more complicated workflows to account for this.

We typically have one person who does the discovery calls, and when he's out of the office, two others fill in for him. All three users have different schedules and different parameters (one wants no buffers, one wants 20 minutes). The round robin will not work for these situations which is really frustrating. We're paying thousands a year to have one system but that system doesn't work in an intelligent way in this circumstance.

I'm running into this problem now and so bummed to see this was first raised in 2021 😩 We now have enough salespeople using HubSpot that round robin can be used, and I was really disappointed to see that we can only use one schedule. I'd love to go back to the team with a solution but I'm brainstorming and looking through the Community for workarounds/hacks and I'm not getting anywhere. I see this as an issue not just for reps in different time zones, as many have pointed out, but also just for general workflow. Some people like to receive calls during a certain window depending on their work style and general availability. It seems like a no-brainer. Does anyone from HubSpot have an update on this?

My team also requires this functionality. There are three of us each available to field scheduled calls. Right now one takes Tuesday, one Wednesday and the other Thursday. However, we can only connect one person's calendar leaving that person to manually assigned scheduled calls to the others. It would be optimal if our team can connect 3 calendars to a single round robin queue, and custom update our availability so hubspot knows to assign leads to salesperson 1 on Tuesday, sales person 2 on Wednesday etc.

This is now possible by setting your team’s ‘working hours’ in settings individually for each team member. A great update I just wish it was posted in this forum. It was released in July!
