Search Body of Emails

Recently implemented Hubspot & am absolutely shocked & disgusted to find that I cannot search for a keyword in emails only in the subject line of the email. How is this possible in 2020 in a CRM system?!?!?!?! One of the reasons we implemented the system was to have a centralised activity history for each client so that we can find emails in one place without having to ask everyone to individually run a search in their outlook to find the email. Does anyone know if there are plans to fix this MASSIVE FLAW in the system or if there is any workaround I can use?

@Anonymous for us the last 6 months would be most important but going back a year would be helpful.

5 years is the max on our side.

Thanks for the update Kevin. My initial thought is all email from all time. What if we want something from years ago? Are we spoiled by Gmail and other searches? Is that possible to have function to search all emails?

 

That said, I think we typically need emails for the past 0-5 years.

@Anonymous We would typically use the function to search emails within the last 3 years, sometimes up to 5 years to find historical discussions

For my company, the best is min 2 years. Shorter period is not enough. Better will be 3 years but 2 years is min.

@AnonymousAll time should be mandatory, as we need to review e-mail conversations with our customers for a longer period (e.g. customer complaints). However 5 years should be the minimum if it helps your team in adding this feature faster...

Hi Kevin, all time would be best for our customers however I understand that might be difficult. So a minimum of 5 years would be a minimum if you ask me (also for our customers). KR Maarten

As accountants really ideally we would be able to seach back through all emails, however a minimum for us would be 7 years as tax records have to be kept for a minimum of 6 years and we could easily have correponce relating to this data going back a year prior

@Anonymous Hi Kevin - you asked about how far back we'd want to search. I can say for our organization - being able to search emails going back all time would be ideal.  We are a software company, and in troubleshooting with our customers, it's helpful to search for problems and solutions that have been used with other customers, and this is always documented in email exhanges.

We normally search in e-mail max 2 years but sometimes we have to find older stuff (mostly with a 5 year max).

 

I hope this will be implemented soon, we recently switched to Hubspot (also with Service desk) but it's an pain in the **s to find older stuff within Hubspot. We revert back to the old system quite often to find the data.

we want to be able so search all emails forever. It's not 1997 where your outlook inbox was 20mb.

We use email for service requests, and there we must be able to fetch stuff that is maybe 5 years old

We are also struggling with this. New to HubSpot and in this area it seems we have downgraded from our last system which is a little frustrating. We would go back 3 years normally.

You should be able to search emails from all time. It is not valuable for my team to search only for a limited time because we will miss so much. Not being able to do this is making using Hubspot difficult for my team. You can do this in other CRMs or even Gmail.

Update on our end:

We had a good call with @Anonymous and the development team. They're very professioanl and I can tell they care. Unfortunitly this feature hasn't been updated and our team has limited their hubspot use because of it, leading to a major loss in value the software provides for us... They just were not able to continue spending all of the extra time searching for needed information in objects and no longer use tickets in the way thety would be benifical to us.

 

I'm hopeful they can figure out a better soultion, and I prefer they do. Unfortunitly if there isn't one we will most likely have to begin looking for a new service CRM.

Is there any news on this? We are still using our mailbox for searches instead of Hubspot itself. @Anonymous

@RBakker86 we definitely understand how much of a pain point this is right now. Unfortunatatly, in order to implement this properly, it requires some work from more teams than we initially expected. There are some other competing priorities on those teams right now to ensure we are maintaining a reliable and perfomant platform as we add new features.

 

I am going to update the status here to reflect that but I can assure you that I have been in conversation with these teams about making the necessary changes to support this functionality in the future. While I don't have an exact timeline on that right now, we will be sure to keep everyone here informed of any status updates on our end.

Adding my voice to this... although I'm not feeling the same level of pain as others it still is highly annoying.  I'll be changing emails over to Notes so that I can actually search for the info that i want.  Pretty disappointed to read through this thread with passionate requests for improvement and only 2 weeks ago a new post marked "not currently planned"  Do better Hubspot.
