Recently implemented Hubspot & am absolutely shocked & disgusted to find that I cannot search for a keyword in emails only in the subject line of the email. How is this possible in 2020 in a CRM system?!?!?!?! One of the reasons we implemented the system was to have a centralised activity history for each client so that we can find emails in one place without having to ask everyone to individually run a search in their outlook to find the email. Does anyone know if there are plans to fix this MASSIVE FLAW in the system or if there is any workaround I can use?
@NazzMohammad doubling up on SMoyse response, this is good news and hopefully something we can look to leverage before the end of 2024, Happy New Year too.
The total number of searchable characters for each email is 10k. If your email is less than 10k characters, you can search by any term in it.
When you find the email in Global Search, the term that you search by is currently not displayed on the search result and that can be confusing. We hope to fill this gap soon.
Thanks for implementing this in Global Search. I understand you are part of the Global Search team, but I'm curious if it's possible to have this by record as well? For example going to a contact record, then searching it by the contact instead?
While that's not possible now, is there a way to search it in the Global Search through some sort of query? Something similar to Gmail where you can select which email it is to or a domain, then the email content you're looking for. Potentially something like: To: (email), "(email content text)"
I want to search for a key word in the search activities box of a company.
When I do, it sometimes works. About 10% of the time.
So there seem to be some serious limitations.
Are you saying that as soon as the email (or email chain?) is more than 10k characters, then the search doesn’t work? Not even on the first 10k characters?
Is this working for others. I just tried a test on about 5 different emails searching key words in there and can't find the emails on any occassion. Tried different email lengths and search character lengths.
@NazzMohammad thats correct yes, I am simply copying text from known emails that we recently received and am not finding them in the search results - the records I have been finding often seem a partial match but are clearly ranking (at least way higher) over the exact match email
@LLynam and @CBergeron I am DMing you both with a meeting link. I can bring over the engineer working on this to understand if there is a bug and sort this out.
I've tested a couple of approaches with the global search, with the email subject and also with key word within the body.
Attached is key word search on email header of Hubspot Global Search (not very original I admit) and then I wrote within the body of the email Mickey Mouse in it, found both search criteria without issue, this is a huge help for us - thank you 🙂

Is there a way within this function to search for a link within a marketing email? Specifically if it was linked using the 'link' function within the advanced email editor.
Yeah, I agree. This should definitely be something that Hubspot should allow. I am trying to find a specific mention that we put in a newsletter in the past year and can't find it. It would take me forever to go newsletter by newsletter to look for it.

This is a critical gap, as we are often trying to search for previous communications with a customer on a specific item. For example we want to find the email when we disucssed their water heater. Global search is useless as we have have 1000 customers where we have discussed this term with. For me, the expected behaviour when using activity search is that all fields are searchable.
