Recently implemented Hubspot & am absolutely shocked & disgusted to find that I cannot search for a keyword in emails only in the subject line of the email. How is this possible in 2020 in a CRM system?!?!?!?! One of the reasons we implemented the system was to have a centralised activity history for each client so that we can find emails in one place without having to ask everyone to individually run a search in their outlook to find the email. Does anyone know if there are plans to fix this MASSIVE FLAW in the system or if there is any workaround I can use?
+1 HubSpot rep posting on behalf of a customer. Currently, we can search within the activities tab of the record for text in the email subject line, but the email body content is not searchable.
An alternative is of course using the Command+f/ CTRL+F function on your browser, but this only works if all activities are expanded.
I don't know if anyone else has provided a workaround for this massive flaw but I have one. It's not the most sensible, but it can search the body of emails and give you the results. Here goes:
Create a report, let's say you name the report "email content search."
When building this custom report, add contacts and activities as the data sources (you could also choose sales email).
Choose the Table layout for the report.
On the configure side of things, add whatever you would like to see:
Contact ID record
Contact Email (address)
Email Subject
Associated Company, etc.
On the filter side:
Add the filter "email body" then choose "contains any of" and add any keywords you want to search for.
Keep this report and modify it for your different search needs at any given time, changing the keywords, as needed.
Manually checking HUNDREDS of emails to ensure an employee who left isnt the signiture on an email vs. a SEARCH field that lets you look at the body of emails.
This is a MUST have feature. INSANE this isnt already possible.
@McBainKD@V-Marketer Have you guys been able to receive correct search result from using Email Body search in table report? It does not seem to work consistently for me.
Can only support that searches for all logged content should be possible and will be highly appreciated! I e.g. log mails in our contacts and it would be great to be able to find them again by using the hubspot search.
Unbelievable!! Like others, I am completely floored by this. We are just starting the process of moving our support ticketing system from OTRS to HubSpot Service Hub... but this looks like it would be impossible to search across emails in tickets to find issues which have been previously sold... or to find a conversation another colleague has had in the past with someone on the topic you are currently trying to solve.
I literally searched OTRS yesterday to look for tickets I had dealt with 5 years ago, so I could remind myself of a solution I came up with for another customer.
It's bonkers this hasn't been solved by HubSpot yet.
Unfortunitly after a couple years of using hubspot we are going to have to stop. This feature is still not avaialble and the CRM is not very friendly for our needs. We put a lot of respurces and hope into this system and it failed. I made the wrong choice to choose Hubspot... Hopefully they make some major improvements and can provide a better product to customers.
Without the ability to search for keywords in the body of emails, the activity window of Hubspot just becomes a meaningless mess of email traffic. Please could you add this functionality. Thanks
We migrated to Hubspot about a year ago and we generally worked around this (using Outlook) but as we start to use Hubspot more, it is harder to track this across the team. This functionality is what I regard as a basic use.
Being able to search for keywords in emails (and meeting notes) is crucial. Otherwise, we constantly reinvent the wheel.
I was pushing for Hubspot when we decided and am starting to regret my decision.
Unfortunitly we did stop using Hubspot. Standard email now works better for our CRM neede... I liked the hubspot team and hope they can make some improvements here.
The lack of proper email search functionality is frustrating and a huge productivity killer in Hubspot. This is the flow that we really need to have supported:
Let's say that I need to discover if my team discussed a 'purple elephant' (keyword) in context of a specific support ticket. So I open the ticket and wish to use the 'Search activities' box in the center panel.
The expectation is that all occurences of 'purple elephant' within Notes, Emails, Calls, Tasks, and Meetings for that ticket will be listed in the search results. Typically zero occurences are returned, but I'm quite certain that HS is failing to find existing and matching content.
The ticket may have contacts, a company, and deal associated with it. The conversation that I need to find is likely appearing on the associated deal, or a contact on that deal, or on the company record, or on one of the many contacts of that company.
I really need search to traverse up to the parent company record and then follow all associations to all the nodes (related company, contacts, deals, tickets), returning all results. This is a wide and deep search of the entire association / object tree belonging to the company. This would save so much time and frustration that I might actually fall in love with HS.
