Replace email verification for eSignature with unique URL

Submitting this idea on behalf of the customer. Here is the description of the issue he is experiencing:

The current quote eSignature process doesn't have the ability to generate unique URLs for each signer, so as a workaround it asks the signer to 'verify' their email address by clicking the sign button, entering their email, receiving a verification email, going to their inbox, finding the verification email, clicking a button there, coming back to the quote page, and finally signing.

 

Not only is this process tedious and confusing to our older, less tech savvy customers, but it's prone to failure when the verification email ends up in their spam folder. Your product team might say something like "have the client whitelist XX email address in their inbox", but if you've ever worked in sales or with any kind of everyday customers you know that's not realistic.

 

To deal with this, we've now resorted to telling our customers that the process might break and trying to get them to be on the phone with us while they sign so we can troubleshoot. Not only is this a waste of time for our sales people, but it annoys our customers. I've attached a screenshot of a recent email exchange to give you an example.

 

All this said, I love the product y'all have built. As a former developer, I know software is hard, and I assume it's even harder at the scale you're at. So this feedback is coming from a place of genuine care. I think you have the best product in the market, but you're stumbling one foot from the finish line by making it so hard for our customers to sign. I definitley agree with this - would love to remove this step when someone signs a quote.

I don’t understand if they are accessing the quote from the email I sent it to, why do they need to get another email message to the same email address to confirm it again. I haven’t had to do that with Panda Docs, DocuSign, or Get Accept. The system should be able to detect the email address used to access the quote and save customers a step.

This process should be made alot simpler. We are losing customers because they dont understand. Also we have to use alot of time following up on deals with quotes and this is time consuming.

When a new client signs his quote with e-signature, he receives an email with a copy of the signed quote ("Your signed copy of the quote"), with the following sender: Hubspot Sales.

 

Idea: Make it possibe to set up the From address to our company name instead of "Hubspot Sales".

I agree with this. 

We are using a lot of time to follow up less tech savvy clients on how to complete the signing of the quote.

Also having the same issue- the email verifcation step is a huge issue for customers. 

Adding a toggle to "require verification" would help immesnly. I would keep it off.

Hi- Any update on this topic? I'm currently working on custom quote and I don't see any option to disable/turn off the "Verify to sign". I think we can eliminate this step to simplify/expedite the signing process.

Seeing as the client contacts can vary for each agreement so the email verification is required but if I want to remove this additional step internally, what would be the process?

 

The reason I ask this question is because internally we have fixed set of people who are signing these agreements. They need to verify their email address every time they sign an agreement which is bit tedious as they have already verified their email address the first time they ever signed the agreement."

Bumping this! We're having lots of issues with clients not receiving the verification email.

This needs to be sorted out as it has been causing a lot of additional friction for this process. Too often we encounter situations where the recipients are not able to receive the verification email.

Agree! We just had this happen again and the client ended up emailing us a
signed PDF because they couldn't receive the verification.

Need this to be taken seriously and sorted out! We have clients ready to sign contracts, unable to get the verification, and then having to print out multiple times to sign manually. We have also followed the troubleshooting suggestions to fix which include clients adding the email addresses from Hubspot to allowlists and still don't get the email. Clearly a known issue at Hubspot, please bump this up!

We are beginning to ask ourselves how this affects our sales and revenue.

I've been following this thread since the end of last year so I see all the replies. 

Last year, I built out a solution for one of my partners that took 2 months to get it pristine inside of Hubspot. 

As soon as it went live, this was a huge friction point, and they demanded we shut everything off and rebuke the 2 months of work at a loss. 

 

We ended up switching to PandaDocs which was a great solution and fortuntely ahead of where Hubspot is on the tool at the moment. 

I joined a webinar with the the Hubspot Quotes product team back in January ( I want to say, maybe it was February. ) and asked the Hubspot Quotes dev team directly about this feature, they said it's a known issue but not something that is on their radar for this year's roadmap.

FWIW, just wanted to drop that tidbit in there, anyone expecting this to be resolved any time soon.... the original idea was submitted in 2019

As a Client Success Manager, our customers are getting very frustrated with the verification steps as it creates more work on their end and in turn, a longer turnaround time for our company to receive signed agreements! Can we please have this removed?

the new verification process  has been confusing our clients and slowing sales.  Can it be optional for those that do want to keep the functionality? We'd certainly opt out.

I agree with many of the comments above.  This is causing customers issues with signing quotes requiring them to PDF and print the agreements.  This is taking us back, not forward.  It's a basic expectation of customers that we have a working e-signature functionality and in it's current state, for many customers we do not.
