We love the new Quote Approval function, but would like to be able to have more than a single approver. There are several reasons why:
1) If the approver is out for an extended time, it would be important for them to easily be able to delegate approval to someone else in their absence so we don't end up with delays in our sales process.
2) We would like our quotes to go through an engineering review and approval before going to Sales approval, given the complexity of our solutions.
3) There are certain approvals that may need to trigger CEO approval based on whether we are recommending an aggressive pricing approach to compete on an opportunity. We would like that option in our workflows.
Hey @hubspot, this is already two years old and as some others already replied, this doesn't look that difficult to implement.
ATM this function is worthless for us as our contracts have different approval stages. And as other also already said, what is if the person is on sick leave? It would be also awesome if it would be possible to say, if discount is >15% send approval to Team Country Managers if <15% send approval to Team Sales Manager.
So this has been in planning since December 2020. Is there an ETA? This is crazy for a global company to only be able to have one person approve quotes.
It does need to be able to be managed by multiple people set by a Hubspot property - ideally deal owner or region.
It needs to be able to be done by someone that does not have to hold an enterprise licence.
Hey folks - Ethan Kopit here, the product manager of HubSpot Quotes. I wanted to drop in to give you some updates. Making quote approvals more robust is top of mind for us. Right now, our team is focused on making quote templates more customizable, which is why you haven't seen more movement on quote approval changes. I will continue to update this thread as we make progress. Thank you for your enthusiasm!
As a stopgap we built a new service pipeline named Approvals, built an approval workflow on quotes where rather than assigning an approver, we create a ticket and then have a delay of "wait until approver is known"... then we have a workflow for tickets on that pipeline that copies the ticket owner over to the quote approver. We restrict access to the pipeline to those whom we want to be able to do approvals.
In addition to what others have mentioned, we are also looking into expanding the quotation mechanism:
For e.g. Sales Executive teams and Account management teams, have different quotes and mechanisms for approvals (new deals vs upsells or renewals for e.g.), as such one person is not always optimal.
It would be ideal to modify the "When quotes require approval" workflow have more than one approver. The step to set the value for the property Quote Approver to _(HubSpot User value)_, should be nixed. Replace it instead with a role/permission under Settings > Users & Team and apply it to the appropriate HubSpot users.
This will eliminate quote approval bottlenecks. Remove the step and simple add the quote to a Task Queue for Pending Quotes, then the task queue can have specific people assigned to it that can approve their own and other's quotes. This might also allow for instant approval of quotes for users with the permission.
YES to this……. We are about to implement an additional software at expense to cover this. The more we have to do this the faster we move away from Hubspot
It is not logic to have a single nominative user as an approver (if he has an emergency or on a leave, we everytime need to update the workflow). It should be based on a user field like for example : Deal/Company/Contact or Custom Owner.
For example : we have for every deal a "PreSales Owner" and he/she shoud approve the quote of the deal not a single user like it is today in the approval workflow
We do have a WF to channel the quote to 3 distinct approvers based on org chart. The enhancment I'd request is the ability to have a single quote approval be assigned mutiple approvers.
For instance as a back-up. Today if the quote approval is assigned there is no way for even a Super Admin to approve. Causes issues when the approver is out sick, vacation or busy.
Perhaps the solution is to allow a Super Admin to have the ability to approve all quotes (those not assigned to them)
@BMcVicker we've solved this by having a deal level workflow that triggers when a property is changed. The property is a dropdown select of a user, and the workflow assigns all approvals for the deal to the selected user. Horrible process, but it functions as a workaround. Additionally, this property has been locked so only our operations team can change assignees.
