Currently, when access groups are created and linked to private articles, pages, or portals, HubSpot sends a standard registration email. That email could be enhanced and personalized to provide a more engaging experience aligned with the brand.
Who Will Benefit from This Feature?
Marketing Teams: To ensure brand consistency in communications.
Customer Service Teams: To deliver a better user experience.
End Users and Clients: To receive clearer, more engaging, and relevant communication.
Goal of the Feature
Allow HubSpot administrators to customize the content and design of registration emails sent when accessing a private knowledge base.
Enable the inclusion of elements such as:
Brand logo.
A personalized welcome message tailored to the user type.
Useful links (e.g., “Explore additional resources” or “Contact our support team”).
A signature or specific CTA (e.g., “Start exploring”).
Value Added
Enhanced User Experience: A personalized email can include a warmer tone and clearer instructions, reducing confusion during registration.
Brand Reinforcement: Standardized communications lack impact, whereas a personalized email reinforces brand recognition and loyalty.
Flexibility for Teams: This feature would allow emails to be adapted based on different access groups or the type of content associated (e.g., internal resources for employees vs. partner resources).
Feature in Practice
Add a section under Settings > Knowledge Base > Access Groups that enables:
Selecting an email template (standard, minimalist, or custom).
Editing the text with dynamic variables (name, company, role, etc.).
Adding custom fields for CTAs or additional information.
Previewing the email before sending it.
In conclusion, this feature would significantly improve the client experience while providing more control to internal teams. A polished registration email creates a strong first impression, crucial for engaging users from the start.
I'm a little baffled as to why HubSpot doesn't already allow for some customization of this. It feels very spammy for a contact to get an email inviting them to "private content" that doesn't look or sound like any of the other emails a brand sends. Definite +1 for this idea.
