Personalize the registration email that is sent to contacts when making knowledge articles private

I would love the ability to personalize the registration email that is sent to contacts when making knowledge base articles private.

 

Currently, it is very vague and I believe that if it was more specific to the article title or topic, the registration rate would be higher.

Currently, when access groups are created and linked to private articles, pages, or portals, HubSpot sends a standard registration email. That email could be enhanced and personalized to provide a more engaging experience aligned with the brand.

Goal of the Feature

  • Allow HubSpot administrators to customize the content and design of registration emails sent when accessing a private knowledge base.
  • Enable the inclusion of elements such as:
    • Brand logo.
    • A personalized welcome message tailored to the user type.
    • Useful links (e.g., “Explore additional resources” or “Contact our support team”).
    • A signature or specific CTA (e.g., “Start exploring”).

Feature in Practice

Add a section under Settings > Knowledge Base > Access Groups that enables:

  1. Selecting an email template (standard, minimalist, or custom).
  2. Editing the text with dynamic variables (name, company, role, etc.).
  3. Adding custom fields for CTAs or additional information.
  4. Previewing the email before sending it.

In conclusion, this feature would significantly improve the client experience while providing more control to internal teams. A polished registration email creates a strong first impression, crucial for engaging users from the start.

I'm a little baffled as to why HubSpot doesn't already allow for some customization of this.  It feels very spammy for a contact to get an email inviting them to "private content" that doesn't look or sound like any of the other emails a brand sends.  Definite +1 for this idea.
