Option to log emails to closed deals

In our industry, when a deal closes, then 3+ months of custom manufacturing begins, with lots of email traffic around the build and shipment of a piece of industrial equipment.

 

Our sales and accounting teams need the emails related to a deal to be logged to the deal. However, after the deal is closed, the Sales Email Extension no longer associates the email to the deal automatically. Having to associate the flurry of emails manually is VERY cumbersome and just doesn't happen.

 

We need an option to continue to associate emails with a contact's deals even after the deal is closed.

 

Ideally there should be an option in the Sales Email Extension that lets the user select which deal(s) that the email will be associated with in Hubspot.

 

Alternatively there could be an checkbox in the Deal to toggle on/off the auto-association of email activity with associated contacts to that deal.

 

This feature would be a great timesaver and increase in efficiency. It is something that our team once had with Cirrus Insight and Salesforce, and misses.

We are a manufacturer as well and are running into the same issues. Can we make this a toggle on/off type deal under account defaults? Our deals are marked as Closed Won and then the real work begins, and tons more emails happen 'after the fact' but none of them are logged. Can we please please please make this an option in HubSpot to be controlled by the specific account?

We're having the same issue in a completely different business (building management in real estate), we'd love to have an option that lets emails and calls be logged automatically on closed deals.

I figured out that in the add-on tool, you can search for a Deal and then click the checkbox and select it and log the email to said closed deal. HubSpot shows you the latest three Deals and if you have multiple Deals on that contact, it doesn't show you all of them, you have to search by Deal name in the tool to associate the email to it.

 

this helped us solve our issue, it does log it, you just have to search for the Deal and select it.

Thanks for the tip ! We are already doing it manually by going in the contact (where the email and the calls do log) and selecting the deals we want the activites to be attached to.

However, the whole point for us is to avoid doing it manually because it takes time and there is always a risk that people forget about it, so the data we collect is flawed.

sure thing, when you say going to the contact, are you saying inside the add-in or hubspot? I found that you can associate the deal right out of the add-in without going to hubspot. So out of Outlook even if the Deal is closed. Is that the ask here? Want to make sure because it was an eye-opener for me and my team.

When I first posted this idea to the forum, there was no option in the Sales extension to select which deals to log the email to. If a contact had an associated deal, the email would only log to that deal if the deal was open.

 

Since then, HubSpot has improved the Sales extension for Gmail/Chrome so that we can choose which deals to log an email to. By default the 3 most recent deals associated with that contact are selected, whether they are closed deals or not.

 

For our purposes this issue has been addressed.

@Yazz -> I'm talking about going to the contact in Hubspot to do the association. 

Actually, our set up is a bit different because we do not log emails through the Sales extension. We're using Front as our email client, so we automatically bcc a Hubspot email address to log our communications. We also use Aircall for our phone system, and have the same issue with calls that log automatically to the contact but not to closed deals. 

Consequently, what particularly resonated in your post @CBader was this part "Alternatively there could be an checkbox in the Deal to toggle on/off the auto-association of email activity with associated contacts to that deal." -> this is what we need

This is critical in our business as well, it can't be said enough... hubspot accounts should have the ability to continue to log emails on closed won deals.  In our business we have a ton of follow up that needs to be logged after the close of the deal.  Ideally if Hubspot gave the account admin or the user the ability to set which deal stages do or don't get emails logged, it would be hugely helpful.

Thank you for sharing your input, everyone! We are planning to re-evaluate the logic we use to auto-associate activities to records. I will leave this as not currently planned for now as there are no specific plans on how we will handle closed deals at this time. This is really helpful input for us so thank you again for sharing these use cases.

It would be super helpful also in Saas B2B.
When leads are in nurturing they are considered as close, and this fails the automatic association.
The checkbox option would be very useful to save a lot of manual work

It would be very helpful if Mails can be automatically logged for closed Deals. This is possible manually but a lot extra work for each Mail. Logging Mails after Closed won is during onboarding procceses essential.
