Yas, we've got the feature of manage duplicates that's great. One thought is there's no way to bulk merge of contact and company duplicates, and you'll need to go through one by one manually.
I'm wondering if there's a better way for us instead of deduplicating one by one, which is literally unrealistic for enterprise users with mass contacts. In our case, we have 1890 duplicates for contacts, which requires going through 1890 times of deduplicates.
Hi, @neil2 that's an interesting request. I just flagged it with the Salesforce Sync team. Is there a reason their dashboards can't help you solve that issue?
@willerdmann I'm sorry you feel that way. The long response time to this issue is on me. If you want to discuss more I'm happy to set up some time to chat.
Our team has investigated this issue and decided not to work on this feature in the next quarter or two. We will revisit after that. Our current tool needs some work to be reliable before we can add new features (you may see some big reliability changes coming soon).
We want to do bulk merge right and don't feel we are in a good position to do so at this current moment. Additionally, we have many app partners who can perform this service at higher volumes. I am happy to go into the logic more if you all have questions.
I personally have talked to many people experiencing this issue. Reliability concerns are just as big as bulk merge and I'm very hesitant to introduce a bad product experience around destructive actions. I don't believe that is the customer experience you all deserve.
I'm going to move this to "In Planning" our team is looking into the best way to deliver on quicker merging. I will update the issue when we know more.
I completely agree with you! While having the "Manage Duplicates" feature is fantastic, it's true that manually deduplicating contacts and companies one by one can be extremely time-consuming and unrealistic, especially for enterprise users with a large number of contacts.
In your case, dealing with 1890 duplicates would require going through the deduplication process a staggering 1890 times. It would be much more efficient if there was a way to perform bulk merges of contact and company duplicates.
Implementing a bulk merge functionality would significantly streamline the deduplication process and save valuable time for users like us. It would allow us to handle a large number of duplicates more effectively and efficiently, ultimately improving productivity and ensuring data accuracy.
I've made available a feature within my app, Utilities for HubSpot, that solves this use case via a workflow custom action.
As per the app's Usage Guide, installing the app makes available a number of custom workflow actions within your HubSpot portal, including "Merge Contacts". When deployed within a HubSpot workflow, this action merges the enrolled Contact (the 'Secondary Contact') into the Contact whose ID is specified within the property labelled 'Merge Into Contact ID (Utilities for HubSpot)' (i.e. the 'Primary Contact').
Please let me know if you have any follow-up questions.
I can't believe this isn't already part of Operations HUB Professional or Enterprise. The ability to be able to merge duplicates based on your own criteria a la Insycle should be part of the Enterprse suite.
The merge duplicate function is unbelievably amateur. My company is a high-volume software platform for gig worker management. We literally manage 1.2 million gig worker contacts in HubSpot. I have 5,000 duplicate gig worker records I need to merge and I can only do 50 at a time?? You must be kidding me.
AND you have to refresh the whole page to see the next 50 records to merge. Once you merge 50 records, it keeps them on the same page with a Merged indicator. I don't care. Show the next 50 so I can keep moving without having to refresh the page every time. OMG.
I just discovered I have 5,400 duplicates. Insane there is no way to mass merge them. I'm assuming HS wants to make it difficult so you'll just pay for the next level of contacts.
Completely agree with this request for bulk-merging duplicate records - and would love it to be available across all Objects and not only in Contacts.
It would be a real game-changer and time-saver, especially for admins managing large databases. Manually merging records one by one is inefficient and time-consuming - it is a real pain-point. A bulk-merge option, along with a confirmation step would streamline this process and help prevent errors.
By implementing this, HubSpot would significantly improve productivity for its users, and make the platform even more valuable and efficient to use for data-heavy teams.
Is there any updates on this? It is soooo hard to currently merge tickets, especially when the ticket names end up being so similar. The best way would be able to do a multi check box selection from the ticket list view.
I'm gobsmacked this still hasn't happened. Snowflake Sync has helped us identify over 100k duplicate company records created via imports. We know exactly which ones to keep and which to delete - but can't do any of the work to clean our dataset because HS has no path. My only option is to delete the dupes and then orphan any deals or contacts associated with the deleted duplicate orgs. **bleep**?
I completely understand the frustration of manually deduplicating records one by one, especially at the enterprise level. Fortunately, there are some solutions that can help streamline this process:
1.Operations Hub Custom Code – With Operations Hub, you can set up custom code actions to automate deduplication, ensuring your system stays clean going forward. This is the best way to handle mass deduplication at scale while ensuring that the correct fields are retained.
2.Incycle – This is a third-party app that allows you to deduplicate based on your own parameters. It provides more flexibility and automation than HubSpot’s built-in deduplication tool. We’ve used it in the past and found it effective.
3. Outsourcing to a Data Cleaning Firm or Freelancer – If you’re dealing with large-scale deduplication, outsourcing to the right firm or freelancer can be surprisingly fast, cost-effective, and accurate. A dedicated team can run structured processes that prevent data loss while preserving relationships between records.
While native bulk merging in HubSpot would be ideal, these approaches can help clean up your data more efficiently while maintaining control over which records are retained. Hope this helps! Let me know if you need further guidance.
@warrendavey, though these are great solutions, they all require extra costs. Anyone using the CRM along with other hubs like marketing or sales would require and benefit from some form of bulk duplication management, HubSpot is great but not perfect at it. Working in an agency, none of our clients use Operations Hub and don't have a need for its functions. It would seem like an unnecessary cost just to have access to managing duplicates reasonably. A feature that enables users to manage the data reasonably shouldn't be exclusive to a specific hub and should be a function available for all levels. It would be super awesome to see a bulk function at all hub levels to some degree.
