Looping workflows

Hello!

 

I would love to have the ability to create looping workflows! With this I would be able to:

 

  • Create workflows to sent automated emails every X time, like: send an important email every month to my customers with no time to end since they meet the criteria;
  • Sync property values between contacts, companies, and deals by workflow copy property value option;

 

How this could work:

After creating the workflow you have the option to add an action called "Loop" (or something like that). After that action added the enrolled objects (contacts or deals) will loop between the following actions (like coping a property value or send an email) with no end as long as they don't meet the unenrollment and suppression criteria.

 

My case right now:
Every month my customers need to fill a form declaring specific information. They need to receive an email with the form link every month to remind they and it's exactly the same email every month so it could be done by automated emails and workflows as long as they meet the criteria to enroll the workflow without any human interaction needed.

 

Would be great to have this function and I'm pretty sure others HubSpot users will figure out amazing ways to use that.

Urgently needed here as well - we would like to send out our weekly menu every week. Email and link stays the same, just content on link will change. Currently no workflow is possible to send out this email on every Friday. 

So what is the current status on this? It's November now, since May it's in Development. Please provide Feedback HubSpot.

Thanks for all the comments and upvotes. I'm here with an update: We've recently launched a beta feature called Scheduled Triggers, that allow you to run HubSpot workflows on custom, pre-defined intervals, to better support your recurring processes. This allows you to repeat (eg. "loop") a workflow on a specific schedule that you define. 

 

This feature is exclusive to Operations Hub Professional & Operations Hub Enterprise.

 

This new type of trigger is intended to support repetitive business processes that aren't tied to a specific change or event, and instead need to happen on a regular, specific cadence. Two examples:

  1. You want to automatically clean up data every Thursday night, before you run your weekly reports.
  2. You want to create tasks for your success team on the first of every month, to remind them to run a health check for each of their customers.

If you are an Operations Hub Pro or Ent customer and you'd like to participate in this beta, reach out to your point of contact at HubSpot and let them know that you would like access to the Scheduled Triggers rollout which they can sign you up for through our internal Customer Success tool. If you don't have one of those subscriptions currently, but would still like to check it out, consider starting an Operations Hub trial, while also requesting access to the roll out for the duration of the trial.

Hi,

I appreciate the update, but am sorry to say that seeing this only in
Operations Hub doesn't bode well.

With Datasets also being a part of Operations hub, I am getting the
impression as much as possible will be packed into Operations Hub to
force customers to pay for it, even when objectively it should be cross hub
functionality.

The examples given should be table stakes and not starting at €750 per
month....

Seriously? Are we now going to roll every new feature into Operations Hub so that no one can afford to access them?

This is very disappointing. Workflow functionality should be available anywhere that workflows exist or might be used.

 

Our use case for this is to work around some "limitations" within the platform, that currently can only be handled by stopping a workflow, and restarting it manually.

For sure this is better to have this feature, but this is not exactly answering the initial issue :

Even with this, we still cannot make the workflow loop itself at the end of the process : 

 

For example if I have a workflow with a "If" at the end that can either loop or stop, I am not satisfied with this solution, especially if the length of the workflow is not stable (for exemple if the trigger is : something is modified)

Are you referring to for Loops? Or the ability to daisy-chain workflows?

 

Sounds like the latter - this seems possible. Create 1 automation, and 2 contact properties, both checkbox binary. 

 

Automation 1, criteria, and checkbox 1 is Yes (and your List X Membership)

Action - Set Checkbox 1 - No

Send Email with form

Delay 30 days

Set Checkbox 2 to Yes

 

When a contact no longer meets the criteria:

Contacts who are enrolled and no longer meet the enrollment criteria will stay in this workflow.

 

Clone your workflow.

 

For Workflow #2 simply switch Checkboxes 1 and 2. 

 

Automation 2, criteria, and checkbox 2 is Yes (and your List X Membership)

Action - Set Checkbox 2 - No

Send Email with form

Delay 30 days

Set Checkbox 1 to Yes

 

I could see this method being strange ultimately on reports but - does this do the trick?

I am looking for looping as well. I want to be able to create a new deal every time a deal is moved to a "closed won" stage. This will allow me to start linking all of the renewals in a deal stream for trend analysis etc. We have variable deal lengths so I want to create the initial new deal details and the sales team can go and update anything pertinent. 

 

At the moment though the infinite looping issue is stopping this and it is based on an event so.....

@hubspot - why isn't this available in the marketing enterprise tool? We also need this functionality to deliver emails. Right now it's locked unless you have service hub. Marketers need this too!

Hi,

 

Last year we made "annually recurring" triggers available to all customers with access to workflows. So for example anyone can use a scheduled trigger to do something like send a birthday email to a contact every year.

Ok! So, if I understand correctly, if I want just a part of my workflow to loop, I create another workflow that I insert within. Got it. Thanks!

@MeganLegge, Annual triggers are great, but very limiting still. Is there are chance the other options (like daily) will be made available for marketing hub users? We have numerous use cases for this but are having a tough time selling ops hub internally for just that functionality.
