Improve inbox Deny List to not log internal staff emails

The issue: I don't want internal emails between our team members to be logged in staff contact records. This includes emails sent from staff to our team inbox.

 

What I've done: I set our email domain to never log on contact records (Settings > General > Email). However, this doesn't apply to our team inbox (connected in Settings > Inbox) as confirmed here: Exclude recipients from CRM email logging (hubspot.com)

 

Partial solution: HubSpot support say to add the email/domain you don't want to log onto the "deny list" of the inbox (see Manage the allow and deny list in the conversations inbox (hubspot.com)), AND delete any contacts matching that email address/domain. For me, this would mean deleting all our staff contact records, which isn't a viable solution.

 

Idea: It would be great to improve the team inbox Deny List so that email addresses/domains on this list will not be logged on contact records, even if the contact does exist in HubSpot.

@MLaun Thank you! I have opted in to the "Team Email respects team Never Log list" beta now. That sounds like it will solve this issue.

@SFeast @MLaun Does this solution work for you? I've added all our employees addresses and emails sent to our Team Inbox still get logged.

@CViramonte It looks like they updated https://knowledge.hubspot.com/connected-email/add-emails-and-domains-to-the-never-log-list to say "Emails sent from a connected personal email, using the HubSpot Sales extension or add-in, or from a team email address to recipients on this list will not create a new contact record, record email tracking activity on the contact's timeline, or be logged to associated records".

 

As I'd expect from reading the above, it appears emails sent from our team email to internal staff are not logging, and I believe the same goes for emails between individual staff members.

 

However, it doesn't say anything about emails sent from internal staff to a team email — these definitely do still log on our HubSpot. So I think this idea still needs consideration.

@SFeast Thank you for your answer. We are now testing the use of different Extra Teams to restrict visibility.
