I use Hubspot for all my CRM / new business. My workflow involves creating deals and tasks. Sometimes just tasks for existing clients and prospects if a conversation isn't likely to produce a deal.
I use Motion to schedule my days intelligently (I have ADHD and Motion is a lifesaver).
However I have now ended up with duplication as a task might be either created in Hubspot (via the Gmail integration) OR in Motion (which gives the intelligent scheduling), OR both. And crossing off a task might involve hunting to see which platform it is in, resulting in a higher chance of missing things and deadlines. It's unideal.
What would be ideal would be for any task created in Hubspot to sync to a new task in Motion. And vice versa. So that nothing ever gets missed.
In my search for a way to achieve this I have connected both Hubspot and Motion (usemotion.com) on Zapier (and also have connected them in Pipedream). However Hubspot tasks are not offered as an source/feed in the Hubspot api. Other things are, for instance a new HS form submission or customer service ticket can create as a task in Motion. But HS tasks aren't available as a feed.
This functionality would be pretty life-changing for me. Is it something the HS team could look at offering? And does anyone in the community otherwise know how to achieve it?
Seconded! I try to manage tasks in Motion whenever possible and also snooze emails in GMail to queue action in the future. Would love to somehow create and manage more tasks in HubSpot, then have them flow through to Motion in certain instances.
Also open to hearing any workarounds others may have found.
I couldn't agree more! Hubspot is a great CRM but Motion shines in task management. I think this project management tech stack is underrated and needs better support!!!
It's shocking that this isn't a possiblity right now considering Motion is literally a task app and it's not able to import tasks from HubSpot. Please get this done!
I've managed to make this work. You can watch engagements of type 'task' on the hubspot connector - works in make.com and probably others - below is my flow in make.com.
Features:
You’ll automatically get a task in Motion when one is created for you in HubSpot.
If the task is reopened in HubSpot, it will reopen in Motion too.
If it's completed in HubSpot, it will close in Motion.
You don't need to manually copy or track tasks — it stays synced.
however - when you mark it as complete on motion it leaves it open on hubspot - i don't have a way to fix this.
