HubSpot to track Zoom Webinar Attendance

It would be a huge time saver if HubSpot could further intergrate with Zoom Webinars to track which attendees actually attend the webinar vs. who just registered. This could be done with a simple "Yes" "No" as a filter or field that could be added to reports. It would greatly help sales and marketing teams to further understand who was their live. Right now I am having to pull this infomration from Zoom and manually add it with the HubSpot reports.

The goal is to have a more in depth look into new and existing contacts and assist with proper follow up.

There may be a better way, but there's a property called 'View time' which stores the average % of time the contact attended a webinar. I used a filter where View time > 0 to derive whether they attended or not. Would that work for you?

I totally agree - at least record the time attended as 0 if they did not attend. Unfortunantly they way it works today, if they do not attend, no data about attendance is recorded.

I second this! I am having a hard time trying to segment my contacts by selecting only those who registered but not attended a webinar. It would be extremely useful to be able to do it without workarounds. I even used the "View time" method but is not working for me (I get 0 contacts).

This is what I did in the end:

- I made a list with only the contacts that attended the webinar
- Then I made another list with these filters:
    - At least one Zoom: Webinar Registration Event has - "Webinar Id is equal to any of "WEBINAR ID NUMBER"
   - Contact is not member of the list "Contacts who attended the webinar" (the first list I made)

This way I have the same numbers I got from the zoom report, and everything seems to match just fine!

With the caveat that you cannot really build reports on this, just lists based on:

Segment contacts based on Zoom webinar attendance

Once you've connected your Zoom account, you can sync webinar registration and attendance details from Zoom to HubSpot and use the information to segment your contacts. You can segment on the following contact properties, which will automatically update as contacts register and attend your Zoom webinars:

  • Average Zoom webinar attendance duration: the average percentage of each webinar that the contact attends. A 100% value for this property, for example, would mean that the contact stays for the full duration of each webinar.
  • Last registered Zoom webinar: the URL of the webinar the contact most recently registered for. This is populated if the contact was added either as a registrant to the Zoom webinar using a HubSpot workflow or through a manual registration.
  • Total number of Zoom webinar registrations: the total number of webinars the contact has registered for.
  • Total number of Zoom webinars attended: the total number of webinars the contact has attended.

You can also segment your list based on attributes of a specific zoom event, using one of the following filters:

  • Zoom: Recording Available Event: if you recorded one of your zoom events, you can choose this filter then refine by the Event TopicEvent Start Time, or Recording URL.
  • Zoom: Webinar Attendance Event: to filter based on attendance, choose this filter to segment your list based on the Attendance DurationAttendance Duration PercentWebinar id, or Webinar name
  • Zoom: Webinar Registration Event: to filter based on registration, choose this filter to segment your list based on the Webinar id, or Webinar Name

@dsecareanu , Tried to create a single active list using the available Zoom: Webinar Attendance Event properties but none of them worked. Goal is to see who registered but did NOT attend. Not sure if Attendance Duration is for a single event or across all attended events. Tried Attendance Duration Percent < 1 with the checkbox selected, tried Attendance Duration < 0, or unknown.

 

@Saram 's solution worked for me. One list created for attendees. Second active list created for registrants but NOT members of the attendee list.

@dsecareanu Your solution does not answer the question: How do I see NOT Attended zoom registrants. 

 

The solution of @saram9922 is for now the only thing that works. And this is not a good solution if you have multiple webinars a week/month, because you have to edit the list every time or make new ones every time.

 

The solution for HubSpot is very simple: In the zoom Export, there is a column that says: Attended Yes/No. So if they could be so kind to put this into their native registration, that would be very helpful. Since Zoom is one of the biggest meeting platforms in the world, and with Marketing Automation the 2 MAIN points that you need to know are: Did someone Attend and Did someone NOT Attend. That's it. Being able to tell if a person has an average of 64,3% on all webinars attended is maybe point 23423 on the scale of importance. 

Please fix this as soon as possible.
