How to view form content in lead object in Sales Workspace

In the Prospecting Workspace, it used to be possible to view the content of a form submission in the Recent Communications or Recent Activities sections.

 

Now, with Sales Workspace, the best you can do is associate a Form Submission with a Lead Object so that a Form Submission shows up under Recent Communications. The content of the submission is not viewable though. It always says "No properties updated" even if properties were updated by the form.

 

Is there a way to be able to view the form content again? It would make processing leads so much easier.

Yes. The attached shows the section I'm referring to. I'm sorry I can't show a similar screenshot from the Prospecting Workspace where we used to be able to view the lead content.

You'll see it says "No properties updated." even though every field in the form is tied to a property and it was updated per the property history in the contact.

 

The Form Submission actually wouldn't show up under Recent Communications normally. I had to add this association to the Form Submission workflow that creates the lead object to get the form item to show up there at all.

Thanks for the details and the screenshots! 🙂 I was reviewing this issue and noticed that you’ve already opened the same case with the support team. They provided you with the most updated information regarding this and the reason why there are "no properties aupdated". I’m sharing it here just in case anyone else has the same question. 

 

For the form submission details to appear in sales tool, we would need the property "Lead Engagement' property" to have a value.


For the 'Lead Engagement' property to populate a value in the Lead tab, this is dependent on the two following properties on either the contact or company record:

hs_last_sales_activity_timestamp (Property: Last Engagement Date)

hs_last_sales_activity_type (this is an internal value in HS which is hidden by default)

 

Logically, it would not make sense since the leads were created and the form submission was associated with the contact, right? In this case, we need to look at how and why the property gets populated. To learn more about this, we can head over to our Knowledge Base documentation:

"Last engagement date: the last date and time of one-to-one email opens and clicks, lead revisit notifications, meeting bookings, and form submissions on the contact record. This is set automatically by HubSpot based on the date/time set for an activity when it's logged on the record only when the Contact owner property has a value."

 

The important key info here is "This is set automatically by HubSpot based on the date/time set for an activity when it's logged on the record only when the Contact owner property has a value". indicating that the property 'Last engagement date' is only set for an activity when the contact owner property has a value.

Hi Diana,

 

Thank you for your response. In opening this particular thread, I was trying to address a different point, which comes from that same support ticket. It has to do with form details not showing in lead objects ever. Even when contact owners are set, per the above, the form details (i.e., properties updated) do not show in the lead object.

 

See below a further response I received from HubSpot support - in connection with what you pasted - which prompted me to create this thread as a feature request.

 


Thank you for the email, I understand that you would like to check the form updated detail, in the sales tool or workspace - but currently the recent communication is built to show details as shown in the attached screenshot  "Recent communications include the most recent emails, calls, meetings, SMS, WhatsApp messages, LinkedIn messages, and postal mail on this record."


It does not mention anything about form submission and I also checked this article nothing mentions that we show updated property from form submission, I have taken this as feedback and added it to out internal team to check if they can make changes to the UI of workspace as it gets confusing with the wordings there.


The forms always send a notification when submitted to view the form updated values  which can be used to view the updated form values submitted by user.

I totally understand, thanks for the details. So what you were looking for was to create a feature request, not a question 🙂 I'll turn your message into an idea (a feature request) so that others who want this option can vote for it, giving it more chances to be reviewed by the product team.

I am onboarding a new sales representative with my company and I am just now seeing that the form information is no longer in the lead record... I agree with this idea, it would make things so much easier for my team to have the form submission information visible in the Lead object like it was previously.

 

We have different types of forms that collect different information. If a "Contact Us" request is handed off to our sales rep, which contains an open-ended property for "Message" where the contact can write in a request, the sales rep now has to navigate from the Lead record to the Contact record, toggle the filters, and locate the Form Submission to see what they wrote... this is not a very smooth/seamless/one-stop process for the rep trying to answer the inquiry. 

 

I can see in the thread above the step to add "associate form submission" which I did add to my lead creation workflow, but after testing it does not show any updated properties when in the lead.

I saw that more information is available in the lead record now under "Previous activities" - this is great! The form information still isn't visible though.
