Folders in folder (subfolder) in Sales Documents

Just like most cloud folder and file storage systems,  sales people OFTEN have the same need for the HubSpot sales document tool and maybe under utliise the tool for this reason, since its really a limiting feature and factor limiting user uptake of what is quie a great tool. Sales Documents.

 

Example: Sales people and team and actually other departments too, who want tracking on document view or read status, need to store vast product calatogues and sometimes may have many versions of each for may reasons, to store on a Product, then sub-product and sometimes another sub-product level.

I'm Ryan, the product manager for HubSpot's Sales Documents tool.

 

I'm very pleased to announce that this feature is rolling out to all existing Sales Document customers this week! You will now see a "New folder" button enabled on the folder detail page, allowing you to create subfolders for more hierarchal organization.

I’m Ryan, the new Product Manager for HubSpot’s Sales Documents tool.

 

Thank you all for taking the time to submit, upvote, and comment on this Idea. I'm happy to report that this Idea is now In Development! This means that our engineers are actively building this feature.

 

The product development process is always filled with unexpected bumps and hurdles, so I can't give a timeline, but I am confident in saying we'll deliver this feature as soon as possible.

 

All updates will be relayed on this thread, so stay tuned!

It would be extremely helpful to be able to create folders within folders for better organization leading to fewer duplicates and improved efficiency.

Yes! It's not like you can't do this elsewhere in HubSpot, and lacking this raises eyebrows amongst users. Even Dos 2.0 had subdirectories...

I can't believe this basic organizational function is not available. Ability to load up to 5000 documents (in our case) and no subfolders? For shame!

I cant find a way to do this, and chatted with support and it's not available today, but there is another ticket for it:and like to segment and categorize both templates and sequences for what they are used for (i.e. prospecting, customer messaging, objections, marketing/nurturing, pricing/proposals, etc.), so today I have to create separate folders for each and label my name so I know it's mine, but would be better if I could have folders within folders.

Currently, we can only create 1 folder level in the /Sales/Documents/ section.

 

We need subfolder options.

 

For instance:

/Documents/Client1/SlideDecks/Pitch1.document

/Documents/Client1/Pricing/Pricing1.document

 

And/or, tags would be useful for sorting. 

 

For instance:

<sort by all tags containing [Client1]> = doc1, doc4, doc11... etc.

 

(a 'pinned' feature would be nice too so we can pin the most used folders/docs at the top rather than have to rely on alphabetical or time sorting)

 

I can create subfolders in nearly any other app/directory. I can tag just about anything as well. HS has so many advanced features, why can't we perform these simple functions? Especially when you get into 100s of documents, organization is critical.

Need this exact feature for attachments as well. I need to tag on a company's attachments which documents are their contracts.

I see that you've broken things down to specific folder-in-folder requests. Is there a projected date for when this will be made available? I just looked back and saw that my first comment on the original thread was over a year ago, and there were many from well before that. It would be great to have an update on the progress that's been made and the plan for moving forward.

I would love the ability to nest folders within folders under conversations> templates. For example I want a folder for each sales rep and then all their email templates in different folders within that!

Agree this is urgently needed!

 

I would like to see both sub-folders and tags too. Also an automated Document File Type recognition (Presentation v Spreadsheet v Image).


Would be useful to see which files are used most frequently, and when the last version was uploaded.

 

(Salesforce's old Content Management functionality included the relevant attributes that would be needed...)

can't agree more. To only have 1 level of folders is quite difficult to work with. For example if I want a parent folder called 'Data Sheets' and then under this folder have separate folders for product groups, e.g. 'Gp 1', 'Gp 2', etc, this currently can't be achieved in Sales\Documents.

Totally agree! Documents is one of the best ways to enable sales to provide value in their outreach. Having subfolders would allow marketing/sales enablement to organize their files in a way sales can navigate resources to send efficiently. For example, searching for documents by industry, by products, by resource type (ebook, case studies, video, etc). Why be able to do this with files, but not documents??? Alternatively, sales teams can sort their documents to send their clients by territory and have relevant documents applicable to their markets.
