Need the ability to email a dashboard to a non-HubSpot user. In our case, our sales force does not use HubSpot as their CRM, but we manage all of our marketing creation and automation via HubSpot. Based on campaign results, newsletter engagement, etc, we need the ability to email a dashboard to sales so they can quickly browse the reports within the dashboard for customer engagement. I picture this being simliar to email preview/shareable links.
My name is Shanker Sahai, I am the product manger for the Reports Management team here at HubSpot. I am actively researching the ability to allow customers to share dashboards or reports to Non HubSpot Users. I would love to speak customer to learn specifically about, based on the use care which channels they prefer to use when sharing reports or dashboards with Non HubSpot users (email, slack, MS Teams), level of security, type of file (PDF, XLS, PNG), if this is a recurring sharing or one time shares.
My email is ssahai@hubspot.com, please email me if you would like to schedule a time to speak or email me any feedback.
Would love this. We use HubSpot custom objects for project management. Some of our enterprise users have requested on-demand viewership of company usage. Being able to give them this view without having to set up a user profile would be amazing!
I have a client that could also benefit from the ability to send dashboards to non-HubSpot users! They'd like their sales team to stay up-to-date on deal activity / revenue numbers without having to make them users on the account.

We would like this idea. Specifically, I'd like to share email reports with board members who don't have Hubspot Accounts. This would typically be a weekly or monthly report.
So, my company built a product RocketScreens to solve a similar problem, getting reports out to non users. We have been trying to do this for years and we happen to be in the reporting/analytics business. We love HubSpot and use it internally, but the reports and dashboards get lost and are hard to share especially for external use (outside of the users in the system). As an executive I have spent too much time on telling my staff we need to hit numbers, and my systems data and reports can't be shared. Ugh.
Our engineers tried many ways to legally connect and take screenshots to display on any screen, but due to all the security etc. failed to figure out a way, other than rebuilding the reports in another tool. Thanks to HubSpot and its ability to export reports out to email we stumbled onto a kind of hack that we use. We can now put these reports on TV's, MS teams, and slack, which we now show off the top 10 reports to my team daily.
You need to download a free trial of our software fromRocketScreensto try it, but here are the steps to follow. Basically, an admin will set up a forwarding of all reports and dashboards you want to use thenRocketScreensdoes the rest.
Here is a step-by-step once you have set up your trial account. - RocketScreens – Email Apps & Forwarding
This document will cover the setup process for using the Email Screenshot & Email Attachment apps in RocketScreens, as well as setting up email forwarding in Outlook.
RocketScreens App Setup
Log in to RocketScreens.
Go to the Channels Tab and select the desired Channel.
Create an App of either “Email Screenshots” or Email Attachments”.
Once the app is created, any content sent to the provided email address will be pulled into RocketScreens, either as a Screenshot or by downloading the attachments (depending on the app type).
Email Forwarding in Outlook
Open your Settings menu in Outlook. You may need to click a button label “View all Outlook settings”.
Select the Mail -> Rules tab.
Select “Add new rule”
Set the “Rule Name” as something easily recognizable. E.G. RocketScreens Hubspot Daily Reports
Set the Conditions to forward the email. I suggest the following:
Add a condition for “Subject Includes” and match the subject as closely as possible.
Add a condition for “From” and enter the email address that will deliver the report. E.G.noreply@hubspot.com
Add an action for “Forward To” and enter the RocketScreens email address.
Click Save.
Any emails sent to your address will which meet the subject and from conditions will be forwarded to the provided email address.
Good luck, we love having Hubspot reports out there.
I would love to be able to send a report to a non Hubspot user every day. We were told when we signed onto HubSpot this was possible and now we are being told it is not. I would love to see this and dashboards be available to send to a non HubSpot user.
Dear Marcy, We understand your frustration with not having the ability to send a report to a non-HubSpot user every day. We have a solution for you! With HubSpot, we have a way to push emails of HubSpot on a Daily basis to RocketScreens (the daily limitation unfortunately is on HubSpot).
RocketScreens will share that with any screens including TVs in the office, or Microsoft Teams and Slacks as a daily updated movie. There is no logging required, and you can add additional reports or communications if you like outside of Hubspot. To test this out, we invite you to sign up for a free 2-week trial on rocketscreens.com. Once you have done that, please enter a ticket in support, and our team will schedule a one-on-one to help you set it up. Mention this email in the support, and I'll get my best team. Don't forget we have also added HubSpot Events also now, so that any new win, tickets, or action can also be triggered to a screen. We hope this helps and look forward to hearing from you soon. Sincerely, Scott Preszler, CEO RocketScreens.
I want to be able to send a dashboard to external contacts as well, and you are welcome to contact me for any further information about my case.
1. I'm thinking the email sendout of a dashboard already existing is great*. If it was possible to add external email recipients in the email recurring sendout, that would be splendid.
* Though, when I add in a pipeline on the dashboard as an external content - the link contains the View-filter but not which pipeline. If you could add that to the link, it would be very helpful. Today it shows automatically the "first" pipeline.
2. But, nicest would be if it could be like a "flat" and siloed dashboard on a link. Containing same info but just no info clickable, and no access to settings or other hubspot functionality. Hm.. But.. it would probably have to require login so not published to the public. I don't know how to solve that! 🙂
