Duplicates workflow function to create task to check potential duplicate contact records

It would be great if we could have a function that allows a workflow task to be created when contacts pop up on the Duplicates list that flags that they might be a duplicate contact. 

 

We use workflows to create tasks for free sample requests of our products. Occasionally we have people trying to abuse the system to get free products by making multiple requests using different email addresses, names, etc and they pop up on our Duplicates list, but the person filling the requests doesn't use or manage the Duplicates.

 

If a task could be assigned to each of the contacts that pop up on the list then the person filling the request will see it and know that they may only need to send one sample instead of multiple.

Absolutely, this would be wonderful. I know there is no out of the box way to handle this currently without Ops Hub and custom coded solutions. 

 

However, I wanted to share that I think Insycle could be of use here. Full disclosure—I work for Insycle. But Insycle offers super advanced deduping, and allows you to inject Insycle Recipes into HubSpot Workflows, so that duplicate records are identified and merged immediately after they hit your system and before your first communications go out. 

 

Here is a quick breakdown of our Merge Duplicates module:

 

  • Use any field in your database as a potential duplicate matching field (unique ID field) to catch more duplicates. 
  • Bundle Insycle templates together into a Recipe (individual templates could identify duplicates in different ways), and add the Recipe to your HubSpot Workflow. 
  • Set rules for determining the master record that duplicates will all merge into. 
  • Further, you can set rules for retaining data down to the individual field level. Make sure you retain all useful data. 
  • You always have the ability to preview your deduplication runs to see how they work and ensure accuracy.
