Attachments Section Improvements

I'm sure I'm not alone in feeling that the attachments section of Hubspot could use a facelift. Here are some of the functionalities I believe are a MUST for Hubspot going forward:

 

  • Renaming uploaded attachments
  • Association options (add or remove associations)
  • Easy upload of attachments to emails, notes, meetings, etc. from a contact, company, deal, or ticket
  • Searching attachments for keywords in the title
  • Filter attachments by date uploaded, modified, file name, file type, etc. 
  • A view all menu 
  • A property history menu, to see when files were uploaded when they were renamed, reassociated
  • The option not to associate an attachment to a record

We have an exciting update! We are preparing for a private beta for the new and improved record attachments experience. This experience will include an expanded table view for all record attachments with details like file type, source, size, uploaded date AND enable users to filter/search/sort their attachments to bubble up the files they care most about.

 
We are looking for a small pool of customers who may want early access to the new experience and be willing to share feedback with us. Please submit your details in the google form if you're interested in the Beta and and we will automatically grant you access to the new attachments experience the week of 4/1.

@BMilaszkiewicz - We totally understand the frustration with the existing record attachments experience. I can confirm that the HubSpot product team is working on enhancing the records attachments functionality right now. We are looking to resolve the top customer needs in this space including displaying file metadata such as timestamps and file types and introducing ways for users to filter, search and sort their record attachments. We will share another update as we near release. More to come soon!

@FMoor - Thanks for submitting feedback. We save email attachments within the Attachments right sidebar card on records today. We do not do so for Forms. Please feel free to upvote and comment on this idea. Our product team is always looking at our community forum to prioritize our top customer needs.

Also, I'd like to suggest:

Each attachment's name is cropped halfway even though there's enough room to display each one's full name - could that please be expanded.

Second: there is no date mentioned alongside the name (just the file size, which is good to know as well), but the date received/created of each attachment would be great to have (source of date - when someone mails it in for example).

I agree with AndreiF,

We do see exactly the same issues:

  1.  the length at which names get truncated is too low, please extend it.

2. Please add the date next to a file. The attached files can have the same name and / or size, without date it is a challenge to find the right file.

The current display for attachments is horrible.     I can't believe it is even accepted by the development team management.     Needs to simply be similar to Windows File manager or MacOS finder, where you can see the actual title, sort, resize etc.     Should be a simple library function.     At least add the file dates and way to see the whole name without having to flyover.    Is there a UI/UX group at Hubspot?   This needs fixing ASAP.

The date field/column is a MUST.  

 

I have a client sending me mulitple version of the same file, with small updates.  I have no ability to see is the most recent version, and finding the specific message with the latest version is very time consuming. This is a situtation that comes up very frequently in our workflow.

Also, the option to automatically log attachments is site-wide. It's either on or off for everything. I could really use a manual-only attachment section that can be displayed on the object right sidebar in addition to the section that already exists. This way I could attach only relevant documents to a record and know that I could always direct my team members to that section and the things I want them to see wouldn't be burried under unsorted incoming attachments.

Hi Team @hubspot , is there any indication on whether or not an idea is being actively considered? As well as the suggestions above I'd particularly like to see a date and time added to attachments. It's too hard to work out which attachment came in with which message. I asked for this almost 2 years ago but haven't seen any change.

Agree with enhancements, at the very least, this point is what makes the current attachment feature virtually unusable for complex deals:

  • A property history menu, to see when files were uploaded when they were renamed, reassociated

Right now there is no way to tell when an attachment was uploaded to a deal, nor by whom. Really need this functionality at minimum.

Agreed, very important.   I'm amazed still at why there seems to be no Hubspot activity to fix the poor functionality of attachments.

I found this thread because I asked customer support about the simple ability to have a timestamp/history of when attachments were uploaded to a deal. I'm disappointed that they linked me to a thread with very important and valid ideas from almost 18 months ago with no acknowledgment on the thread from the Hubspot product team yet.

In the tickets, We want to see the date when we received the attachment! So if we are working on a ticket to fix an issue, and we receive a screenshot, then another day they send us another screenshot, we don't want to double-check, by checking in the email, which one is the newest one. Thanks!

Great summary of the things needed here.    This is a real issue in Hubspot, and I'm amazed at the lack of improvements to fix this.    Maybe Hubspot could at least give some insight to what their plans are here, as it seems to be going nowhere.....

+1. The current set-up makes it very difficult to manage client documents, particularly for teams less directly involved in the day-to-day client relationship management who need quick access to contracts, invoices, etc.

Agreed, with larger Enterprise customers important documents (like an MSA) get buried and there currently isn't an alternative place to store them.  If you could star or flag certain attachments so they showed up at the top that would also be helpful, but the search and renaming functions are imperative!

I'd like to suggest the ability to add labels to the documents, such as quotes, contract, invoices, etc. 

It would be good to see who has uploaded the doc HubSpot.

When you send one-to-one emails in HubSpot or log an email using HubSpot Sales, any inline attached files will automatically be added to the Attachments section of the record. This is a problem since ALL email more or less includes logo and some kind of banner in the mail, not as attachments but in the actual body/footer. This makes all companies become super clodued with unneccecary "1kb images" and unnessecary files that makes all important attachments like invoices or contracts drown in hundreds of junk-"attachments"... Is there a way to turn of so only non inline attachment gets imported to companies?

We also need the attachments from e-mails and forms to appear in the attachment section! I just submitted the form. Is there a way that this can be developed as well?
