I'm sure I'm not alone in feeling that the attachments section of Hubspot could use a facelift. Here are some of the functionalities I believe are a MUST for Hubspot going forward:
Renaming uploaded attachments
Association options (add or remove associations)
Easy upload of attachments to emails, notes, meetings, etc. from a contact, company, deal, or ticket
Searching attachments for keywords in the title
Filter attachments by date uploaded, modified, file name, file type, etc.
A view all menu
A property history menu, to see when files were uploaded when they were renamed, reassociated
The option not to associate an attachment to a record
@FMoor - Thanks for submitting feedback. We save email attachments within the Attachments right sidebar card on records today. We do not do so for Forms. Please feel free to upvote and comment on this idea. Our product team is always looking at our community forum to prioritize our top customer needs.
I would like to add having the ability to see which HubSpot user attached a file as well as date and time of the attachment when done in any object, including custom objects.
I found this thread because I asked customer support about the simple ability to have a timestamp/history of when attachments were uploaded to a deal. I'm disappointed that they linked me to a thread with valid ideas from over 18 months ago with no acknowledgment on the thread from the HubSpot product team yet. I'm surpised that for what seems to be a simple library style fix, that this has not yet been done.
@BMilaszkiewicz - We totally understand the frustration with the existing record attachments experience. I can confirm that the HubSpot product team is working on enhancing the records attachments functionality right now. We are looking to resolve the top customer needs in this space including displaying file metadata such as timestamps and file types and introducing ways for users to filter, search and sort their record attachments. Hey so I read through all the ideas here and other forum posts and I created an app that can help with this problem. It's listed on the HubSpot Marketplace and you can find it here.
Features 7 workflow actions:
The actions include the ability to dynamically rename attachments, update their visibility, copy attachments from properties to the attachment section, copy attachments to properties, copy attachments to associated objects, and more.
I also included a CRM card to upload an attachment directly to a property:
This would let you use deal stage transitions to require a file, as a thought.
This should hopefully solve a lot of challenges presented in this thread. The app works across all objects, as well as custom objects. I am definitely looking for some feedback to make sure I am solving the right problem too, so I would greatly appreciate any and all feedback or additional feature requests.
I know the product team is working on updates to the attachments section, but I think my app can really help solve a lot of the automation challenges by bringing these actions into workflows.
Is there already a reliable release plan for when and to what extent this function will be improved?
Additions to the above suggestion: - Tagging of attachments: e.g. draft, signed, legal, invoice - Linking to fields as a shortcut. This would help to find relevant documents faster, e.g. if you have a lot of documents in a deal.
We have an exciting update! We are preparing for a private beta for the new and improved record attachments experience. This experience will include an expanded table view for all record attachments with details like file type, source, size, uploaded date AND enable users to filter/search/sort their attachments to bubble up the files they care most about.
We are looking for a small pool of customers who may want early access to the new experience and be willing to share feedback with us. Please submit your details in the google form if you're interested in the Beta and and we will automatically grant you access to the new attachments experience the week of 4/1.
@TaniaBagga love to hear! However, when visiting your form link i'm met with "You need permission. This form can only be viewed by users in the owner's organization.
Hello! Thank you to everyone that volunteered to participate in the Attachments Beta. We have now enabled the new attachments functionality for all those that expressed an interest. With this Beta, we give users a robust file management system on records. You can now:
Bubble up the files you care most about by sorting, searching and filtering your attachments.
Rename your attachments and take bulk file actions such as download and delete.
View a lot of the file metadata that was previously unavailable to you such as upload date, source and file type.
We look forward to getting your feedback via a Customer Satisfaction survey that will pop up when you interact with the new attachments card. As always, we love customer feedback and use that to inform future product direction so please keep that feedback coming!
@TaniaBagga Yeay! This is wonderful. How do I turn it on? I am in HubSpot and I am not seeing any changes to my UI. Is there a toggle somewhere between beta and back?
At a quick glance it's looking good. The proof will be when I have an actual scenario where I need to search for something but it's definitely an improvement on before.
@TaniaBagga is it still possible to join the beta testing (Attachments Beta). If yes, how? Could not find it in the Product update section in our account. Best, Alex
@TaniaBagga - I believe I've filled out the form twice now and I don't think I've been added to the beta. I'm also not seeing it on the product updates tab in HubSpot to join a beta. We would really like to be added as our team is struggling with serious pain points here. Thanks!
