Just make sure that HubSpot does add some artifical limit on the number of Archived Contacts and Companies, that would either make it useless or require us to pay even more for our own data.
Using filters and lists, you can identify and clean up low-value records. For example, you can create an active list in HubSpot that filters contacts or companies with no activity in a specified time frame (e.g., 12 months). Once you have that list, you can manually delete the records and export the list to keep a backup.
However, managing this can be time-consuming if you have a large volume of records, especially if you need to do it regularly.
Insycle could help you here — full disclosure: I work for them. But Insycle can help you automate this entire process. With Insycle’s Bulk Operations module, you can filter your records by Last Activity Date or any other criteria (like missing fields or invalid contact data) and purge/archive them in bulk. You can even automate this cleanup process to run on a set schedule—hourly, daily, weekly, or monthly—so your database stays decluttered and organized.
Hope that helps! Let me know if you have any questions.
