Allow multiple HubSpot owners to be assigned to Contacts, Companies and Deals

I am carrying this idea just over from the old HubSpot ideas plattform:

"Many (if not all) of our clients need the ability to attribute multiple owners to Contacts, Companies and Deals in the CRM."

 

"In our case we have multiple people working on the same deal. Currently all I can do is filter the deals by the hubspot owner but I would love to be able to track the ROI of individual salesmen but I get incomplete data right now because they might have worked on part of a quote that was assign to someone else because we cant add multiple users."

 

The problem shows up when you set users so that they can only see their assigned contacts and unassigned contacts.

 

The current workarounds (not setting a user or just not working in a team) are... less than satisfactory. It would be great to hear when this change comes.

Though this is already in the works I still wanted to post as we are finding the need for this due to Messages/chats. We would like to pass the chat to who is best to work with the client without the overall HubSpot Owner being affected. Though Messages/chat can be routed initially to any user, we need to be able to pass them between users and an overall Messages/Chat Owner, separate from HubSpot Owner would be much needed. Thank you!

At my firm, we need to have the ability to assign multiple HubSpot Owners to one contact, company, or deal. We sell insurance in four different business segments. Many of our clients purchase insurance from different segments including, Commercial, Employee Benefits, Personal, and Life insurance. So, we have multiple sales advisors communicating with the same contact or company simultaneously, most often a Commercial advisor and an Employee Benefits advisor. Both advisors need to be HubSpot Owners in order to get notifications. With the current settings, only one advisor gets notifications and we've had to set up a new property so that the HubSpot owner can see who else is assigned to the account. But because of permission limitations - setting each advisor to view everything instead of HubSpot owner only - we will encounter privacy issues with certain clients who sign Non-Disclosure Agreements. Allowing multiple HubSpot Owners to be assigned to the same contact, company, or deal would solve these issues.

This really does need to happen now. We've spent a lot of time setting up with Hubspot and are mostly happy with it. But if we can't have multiple owners for specific deals/contacts/companies in the very near future, we'll need to look somewhere else. It's a deal breaker for us since almost all of our clients are sourced through the interaction with multiple reps.

This is a must have for us. Been asking for it for a long time. Love HubSpot but we'll have to find another CRM solution if we can't have this basic functionality, and soon.

 Hi all, we recently released a new field type, HubSpot user, that allows users to create custom owner properties on HubSpot records. Custom properties created with this field type pull in directly from the User list in Settings, resulting in the property dynamically updating without any manual action being taken on your end. These new custom properties allow multiple owners to be assigned to a contact, company, or deal record in order in order to align with your customers’ various touchpoints within your organization.

Hi jsg121, I don't think creating custom owner properties will solve some of the pressing issues related to the HubSpot owner property. At my business, we want to set permissions for users to view and edit owned only but certain instances with cross-selling opportunities require multiple sales people to view and edit the same account. With the current permissions settings, only the original HubSpot owner property determines what a user can and can't view and edit. Adding custom properties doesn't solve the permissions issue since ownership is still tied to the HubSpot owner property. Allowing multiple HubSpot Owners to be selected in the original HubSpot owner property seems like the best solution. That way, multiple sales people can view and edit some contacts together while being restricted from viewing others. Also, having a multiple drop-down select field for HubSpot owner will allow more than one sales person to receive notifications when communicating with the same contact or company. I hope HubSpot can make this idea a reality rather than relying on the new field type.

I don't see how this helps much JSG121.

 

With this new custom property we can name add one more owner to a record. That custom property still has the restriction of only being able to choose one person. 

 

And how do you suggest we set up contact and deal filters with no "OR" logic like: Hubspot Owner set to me OR Custom Owner Property Set to me?

 

And for our company at least, we need the ability to have up to 4 owners at times.

 

This doesn't come close to hitting the mark

@MelissaAlvares, I agree. Another concern we have is the ability to report back. If we have two sales associates working together to close one deal then each should get credit for half of the deal amount. That customer should show up in the deals won.

Without the user permissions, this does nothing for us.

I second everything @CaseyBeanBKS outlined. Without the permissions, the new property doesn't really help in any way.

Thank you all for the feedback. We are aware of the limitations in terms of user permissions and hope to implement those in the near future, @CaseyBeanBKS@MVenhousen@RDI1281.

 

@JimHarris the idea is that these properties will each represent a separate type of ownership, such as BDR, Sales Rep, Onboarding Specialist, Customer Success Manager, etc. By defining the different owner properties, you are differentiating them from each other and can therefore segment accordingly, as Custom Property #1 would represent a different role than Custom Property #2. 

 

@VagaeNatus can you clarify what you mean here? This is a contact property, but it's meant to organize different users that interact with a contact in different capacities. How would you like to use this property for contacts, over users?

Permissions are a must for this to be relevant. I wouldn't consider this idea as "delivered"

@jsg121 I see how that could be a solution for at least a percentage of Hubspot users. 

 

Our company has 12 product lines and each line has regional salespeople. 

 

Several of our salespeople might sell to the same customer. And a lot of times even in the same contract. 

 

It it is absolutely crucial that we soon find a way that multiple owners be able to be assigned to a contact and deal. 

 

And that in one contact view a sales person see the contexts they are listed as an owner. Not 4 different views, one for each custom ownership property.

What has been delivered here is: a new field type for contacts, deals and companies objects that offers a dropdown list by pulling in values directly from the User list in Settings. Saying it differently, it's a "1-1 relationship between USERS object and any other objects".

 

But since this comes without permissions, the above  could have been achieved with a "1-1 relationship between CONTACTS object and any other objects".

 

What we are looking for is a field type (multi-select) that pulls in values from the list of contacts.

I see this was an idea as far back as 2016.  For us its an important feature so the sooner it is realised the better!

This is a huge deal for us and our biggest problem in getting our sales team to use the Hubspot CRM. For all the reasons listed above. All of our deals have more than one owner. This would be huge especially for filtering.

Maybe I am missing something here whne I try to set this up.  Basically, we are setup with an Account Executive and Business Development Associate working the same accounts.  How am I am able to tailor the sequences so the correct sequence senders name appears vs the Hubspot Contact Owner.  All of our salesforce accounts and contacts are owned by the AE’s – and the BDA’s will access the account and work from within the account. 

 

In summary, I am wondering how I can create properties for the names of my salespeople so it can be used in a sequence without it having to be tied to an Account Owner or Contact Owner.  Another way to say this is I need to populate the saleperson’s name sending the sequence, even if they don’t actually own the account.

 

When you have a moment, please advise how we can set this up.  I already tried the advice in the article here, but it does not seem to generate what I need. (https://knowledge.hubspot.com/articles/kcs_article/contacts/how-can-i-create-a-custom-owner-property).  Thank you!

Can we get an update on this? I cannot believe how long it is taking HubSpot to provide a solution for such a critical issue. We are beyond frustrated and will be moving on from HubSpot at our next renewal if this doesn't get resolved.

So, a key piece of functionality seems to be unavailable, great.  I signed on a week ago, but am wondering if I made a mistake with Hubspot Sales -- this seems elementary with a sales engagement platform.  Hopefully, someone can help me soon here.
