Allow Property options to be archived instead of deleted

Some ticket properties that we have created include options that are no longer valid to be selected by team members in current or future tickets. However, we cannot delete these options without the data being removed from important reports that have been created.

 

For example, a property that specifies the Product issue that the ticket refers to contains options referring to issues that existed previously but are now solved. Our team members should no longer be able to select these options when creating tickets as they are not valid. But deleting the options removes our ability to view reports of the most common product issues from previous years/quarters.

 

It would be great to be able to archive properties, so that team members can not select the property but the data is stored and usable for reports!

I was just trying to figure out how to do this today. This would be extremely helpful in cleaning up properties that are no longer used without deleting all of the data connected to them.

This is super easy to do in Salesforce - you can activate and deactivate property values the same way you can disable property values for forms in Hubspot. We need the same toggle on/off for visibility of the value so that historical records can keep the old values, while preventing users from newly selecting the value.

Definitely would like to see this for the Contact, Company, and Deals.  The lists become long of values no longer needed but the historical component would be beneficial.  Example; we created a customer field for the consultant's name to use for personalization in emails.  If the consultant is no longer on our team, it would be good to just "toggle off" their name in the dropdown so they no longer appear on the contact record.  This feature is available in the marketing forms but not in the CRM.  Could really use it there.

Hi there. 

I have a workaround I created but I don't know if it will work for Tickets.  

I have a custom property in the contact record, "IEC," representing first names of team members in a dropdown list.  I use this field/property in email templates to include only the first name to personalize the email (versus Account Owner that has the full name).

My issue was that as team members have left, the dropdown of all team members still shows.  Names cannot be toggled on/off like in a marketing form.  I do not want to delete names for historical/reference purposes.   But Hubspot does not allow for archiving/hiding of values in the CRM.

 

The workaround: I found that I can create a "logic condition" based on another property and then select only the values that I want displayed in my IEC field.  In my example, I set a field called "Class Year" which has values of 2020-2030 to select.  I set the condition for years 2025-2030 to only display the 6 names on our team versus 10 that typically show up.

You can find this in Settings | Data Management (Contact) | Manage Contact Properties. Search for your property (e.g., IEC). Edit and go to "Conditional Options" tab.  I've attached screenshots of 1) where I setup the condition and 2) the contact record now showing only the names that I've selected based on my condition of the  property Class Year.

A toggle switch for fields (multi select, dropdown, etc.) that allows you to retire old options, keep the data, and add new ones as needed would be FANTASTIC! We can toggle options to be available on forms—same concept, but this would be system-wide and would enable users to retain data of previous items, products, services, etc., while no longer making them available for selection. It would also allow you to update the items, products, or services, and make them available for selection as they change or as needed—since not everyone is selling Christmas trees in July, being able to turn options on and off as necessary would be very helpful.😉
