Admin view of connected email inboxes

As a super admin I would be very benefical to see whom in the company/team that has successfully connected their outlook or gmail with Hubspot

Hi folks! I am continuing to see confusion around this and get questions about it years after it being Delivered, so I thought it might be helpful to more explicitly share the documented resources about where Super Admins can see this information.

On the Users Table: https://knowledge.hubspot.com/user-management/manage-user-properties-and-preferences#review-the-user-table-for-user-specific-data 

  • Scroll to the right if you are on a smaller screen, to see the values for Email Status, Calendar Status, Calendar Sync, and Scheduling Pages for every user.
  • If you do not see these values, you will need to Edit Columns on the table and select these values

On an individual User Record: https://knowledge.hubspot.com/user-management/manage-user-properties-and-preferences#view-an-overview-of-user-specific-data

  • From the Overview tab, scroll down to the Connected Accounts section. There you will see statuses for Email, Calendar, Calendar sync, and Scheduling pages.

  • From the Preferences tab, select the Connected accounts section to see the specific accounts that are set up.

Hi @SCole7! We do send a notification to users directly when their email and calendar disconnect, but I understand that might not always be sufficient. I recommend upvoting this idea: https://community.hubspot.com/t5/HubSpot-Ideas/notifications-when-calendar-email-are-disconnected/idi-p/816942 We're exploring some solutions around this and I will keep that idea updated.

Hi all! We have another addition here with the redesigned user record! Admins can enroll their portals by visiting this link to the entry in Product Updates and clicking "Join beta". Under Preferences, there is a new "Connected accounts" section that will show exactly which accounts the user has connected and their current status.

Hi everyone! I'm very excited to announce the first version of this is in public beta today as part of the new users table! Admins can enroll their portals by visiting this link to the entry in Product Updates and clicking "Join beta". Email Status will show if a user has connected their email and it is enabled. I also wanted to mention Calendar Status and Calendar Sync which do the same thing for Meetings and the Calendar integration.

Thank you all for the feedback! I'm pleased to share we are planning to solve this problem later this year. I'll update this post when we have more news to share.

Hi team, 

 

Right now the workaround for a superadmin to check the emails connected will be available for enterprise subscriptions only, log in as the user they want to review and then check their personal email, it would be good to have a view that shows all the information for all the users, so superadmin can check this information easily.

Thanks @hroberts ! 

 

However, it still looks like this is not available as a partner admin. Is that something that will ever be added or is there a reason for that? It would be helpful to have this for partner admins as well. My current workaround is an admin screenshare with me to check haha. 

 

If this shouldn't be addressed here I apologize.

In addition to checking the status of whether emails and calendars are connected, it would be beneficial to view the details of the connected accounts. Currently, HubSpot does not restrict connecting email ids of different domains, which is a security risk. We are unable to get the info through audit log APIs either. Having the list of connected emails would help to resolve that issue.
