Add Filtering Options for BCC Inbox Archiving to Improve Compliance Handling

Description:
We are currently using the BCC to internal Mailserver feature in HubSpot to archive all outgoing emails to an internal shared inbox for compliance purposes. While this helps ensure that important communication is stored, it results in EVERY email sent via HubSpot ending up in this compliance mailbox — regardless of whether it’s relevant to compliance or not.

This creates a few key challenges:

  • Information overload: The inbox receives a large volume of irrelevant emails, making it difficult to manage mailobox size and reaching mailbox receiving limits.
  • Lack of filtering or rules: There is currently no way to apply filters or conditions on what gets archived in this mailbox.
  • Manual cleanup: we have to manually sort through and manage the volume, which is inefficient and prone to error.

 

Suggested Solution:
We would love to see HubSpot offer filtering or rule-based controls for the BCC inbox feature. For example:

 

  • Allow filtering based on subject lines or Email IDs.
  • Introduce rules to only BCC emails associated with certain workflows.
  • Enable tagging or labeling of archived emails for easier categorization and retrieval.


This would greatly enhance our ability to use the BCC-to-Inbox feature effectively while maintaining compliance standards without unnecessary noise.
