Ability to restrict permission to edit/delete other people's notes
In theory, anyone can make anybody say anything by editing their notes. It should be possible to restrict permissions to only edit own notes - despite the notes being added to a company you own.
I am oftentimes leaving notes for my salespeople, and the fact that they can edit my notes just because they are on a company they own seems worrying.
This also goes towards a more granular permission setup. I would love to be able to create roles with way more specific permissions than currently possible.
I need the following Notes Abilities: -To make a Private Note that is not available to the Customer Portal on all Record Types -To make a note un-editable by other Internal users/teams but viewable
Here in 2024 asking for the exact same things proposed in 2020.
If notes are editable by everyone, at least have activity log/timestamp. But the fact that someone can still delete someone else's notes is concerning.
I completely agree. It's a data integrity issue. It's also inconsistent with most other HubSpot permissions which have a distinction between View and Edit.
I'm also having a problem at my organization where people are editing each other's notes to keep one long note. They manually type the date and their initials every time they add something. WHICH DRIVES ME CRAZY BECAUSE IF YOU LEAVE YOUR OWN NOTE IT WILL HAVE THAT INFO BAKED IN. But it's a weird culture problem that I can't shut down without the ability to limit that permission.

Is it Possible to give other users permission to UPIN a note - when they are the new owner - without giving that user permission to edit any past note?
HOW I USE PINNED NOTES: (In B2B Sales - so Company Centric) Like a Diary - that is shared between the company and all its contacts. So no matter who’s page I am on - I have a central place for Key Information without having to piece a puzzle together every time I am following up. I use this for both Leads and Customers.
Now once I have worked a Lead and decide I have exhausted it - I kick it out of my pipeline - i.e. switch to no owner. Later another rep may pick it up and have a reason to give the company a go - maybe they found a better contact than I had or - simply time has gone by and things change.
Some reps like my Pinned notes - others don’t. Currently the following rep cannot unpin the note and I need to be mindful to unpin before I kick the company out of my pipeline.
I get why notes should not be editable by others because that degrades - but if you are the "New" company owner - they should be able to at least UnPin the note - don’t you think?
I just don’t know if it’s an ALL or NOTHING type of permission.
