A substitute arrangement for absent employees

If a user is sick or on vacation, it should be possible for other users to be notified when the absent user's activities are due or when emails about deals are received.

Hey @CZimmermann9, definitely agree here. Deeper availability features in general across more features (because with Inbox, tickets, leads, meetings, etc there are a lot of different types of availability to take into account now, and there aren't consistent availability settings across all those different instances. 

 

The best way that I can think to do this right now would be to have some sort of automation setup so that when an employee is absent, perhaps a checkbox gets marked in HubSpot, and then a workflow that states that when that checkbox is marked, notifications go out to the relevant people to update things manually, or potentially even re-assign the tasks? All depends on the use case. I would think this could be put together using Zapier, but I'd have to play around with things to really figure out how it would all fit together. 

 

Also just wanted to mention that Insycle could potentially help with this. Insycle doesn't integrate with tasks and activities, so you'd still have to find a workaround for those. 

 

But for tickets, deals, contacts, companies, or any record type that uses an "owner" field for assignments — Insycle has really deep availability settings, which are taken into account when the assignment originally takes place. You can set working hours for every employee, taking into account time zones. Then you can add expected unavailable days such as for busy days, training, conferences, etc. Then you also have a quick toggle for unexpected absences like sick days, which is more convenient than having to remove/add people from workflows everyday, which a lot of companies end up doing.
