Hi, my name is Taylor, and I’m an Operations Specialist.
I’ve been working in HubSpot for just under a year and joined Boot Camp to deepen my knowledge and uncover features we might not be fully utilizing yet.

Wins:
One of my recent successes was building a workflow that integrates SMS — a feature that’s helped streamline communication and improve outreach.

Hidden Gems:
I’ve really enjoyed exploring the Marketing Studio and becoming more familiar with its capabilities. It’s opened up new ideas for how we can better support our marketing efforts.

Potholes:
One ongoing challenge has been getting different departments aligned — making sure everyone is on the same page with processes and HubSpot usage.

Understanding how to differentiate between agents, assistants, and human roles in automation.
This clarity makes it easier to assign the right type of intelligence (human or AI) to each task, improving efficiency without sacrificing judgment or creativity. It’s a major mindset shift — not just “what can we automate,” but “who should handle it?”

:gem: Hidden Gem
The reminder that only the first five snippets are visible to users without a snippet seat — sorted by creation date.
That’s an easy-to-miss detail that can cause confusion if you’re training new team members or managing shared assets. Organizing snippets by priority (and naming convention) ensures the right ones always surface first.

⚠️Pothole
Launching AI agents without defined goals or KPIs.
It’s tempting to automate everything quickly, but without metrics or monitoring, agents can drift off-course, create bad data, or frustrate users. The fix? Start simple, measure impact, and iterate — automation should amplify, not complicate.

🎤 Hi, I'm Juan - joined Bootcamp to master HubSpot for client implementations at Link37 (HubSpot Partner in Portugal).

🏆 Wins – Successfully designed and documented custom deal pipeline properties for a client's B2B sales process, including BANT qualification fields and product preference matrices for the textile/hospitality sector.

💎 Hidden Gems – Discovered that HubSpot's association definitions API lets you programmatically validate relationship types before batch creating associations, preventing errors when linking 100+ contacts/companies/deals simultaneously.

🕳 Potholes – Hit the Forms API limitation - HubSpot MCP doesn't support form creation yet, requiring manual UI work for form setup despite having full CRM automation capabilities through the integration.

🤖 AI Prompts – "Map contact properties that relate to company information" - helped me identify 19+ contact fields that should sync to company records, streamlining data architecture for a client's real estate CRM implementation.

Hi there! 👋 I'm Kiersten, and I'm the marketing director for a staffing agency with a small, but mighty team of one (just me 😅). I've been in this role for about 90 days, and boy, do I have my work cut out for me. I'm really excited about this Super Admin Bootcamp; I'm hoping to learn the best ways to get our data and processes organized and set up for success. 

 

🏆 Wins

We're exploring ZoomInfo and Apollo to help with data clean-up and pipeline management. With the trials, I've been able to clean up some bounced contacts so we don't have to delete them. 


💎 Hidden Gems

I've been loving being able to send emails based on the recipient's time zone. 


🕳 Potholes

How much time do you have? LOL our biggest pothole is dirty data. We have no processes in place for keeping data organized, how we manage importing data, or even how we create workflows or naming conventions. It's a mess and a big project.

Hi everyone! 👋 I’m Ximena, and I manage our HubSpot CRM for a small but mighty team. Because we rely heavily on workflows, deals, and custom objects to keep things running smoothly, I joined the Super Admin Bootcamp to refine our setup, learn best practices, and uncover ways to make our processes more efficient.

🏆 Win:
This week I streamlined a few workflows that were overlapping. My predecessor created a few workflows and when I came in I created more that after the audit I saw where redundant.

💎 Hidden Gem:
I discovered how powerful conditional logic can be inside forms. Clearly laying out the information you need depending on who is answering is amazing.

🕳Pothole:
Because our setup is so customized, small changes can have ripple effects. I’ve realized the importance of documenting dependencies before making updates and tracing back my steps.

🤖 AI Prompt:
“Review this workflow summary and identify potential points of failure or redundancy.”
It helped me catch a few outdated steps I might’ve missed otherwise!

Loving this bootcamp so far! It’s great to hands on way to learn about keeping HubSpot organized and running like a well-oiled machine! 💡

🚀 Super Admin Fall 2025 Bootcamp – Week 1 Trailblazer Kickoff!!!

 

Introduce yourself Hi! I’m Elena Zabalueva. I’ve always been a curious problem-solver and I joined the Super Admin Bootcamp to level up my skills directly from the source, connect with other trailblazers, and maybe snag that shiny certificate too.

 

Wins We finally fixed a long-standing issue where certain blog posts weren’t showing on our homepage. The culprit? Tags! After correcting the existing ones, I also set up a plan to explore alternative ways to surface posts more reliably.

 

Hidden Gems Using tools to centralize email campaigns per event. It’s simple, but having everything in one place makes managing outreach way less stressful.

 

Potholes Some of our CRM automations are barely holding together. They technically work, but errors pop up at the worst times, so a deep cleanup is inevitable.

 

AI Prompts I’ve been experimenting with prompts to automate lead enrichment and research tasks. Early tests show it could shave off hours from manual data collection, making our outreach much faster.

Hi Everyone!
🎤I'm Fanny and work as a Digital Marketing Specialist at an IT consultant company, and am just now moving into a new role where I also takes a new CRM responsibility.
(I'm a bit behind on this task as last week was crazy so hopefully it's not too late to submit this 🙂 )
🏆Wins - We introduced the lead object earlier this year and which I introduced to our sales team for one of our three business areas who has been struggling with understanding this - and it was received very well!
💎Hidden Gems - Before I was looking at the default table view for all incoming leads, but I found that I could structure it with a board view instead which is similar to the deals pipeline board which the sales team is used to. It made it much easier for the sales team to understand the view.
🕳Potholes - I've known we have lots of unstructured data, but the more I learn the more I also see how much dirty data we have. And due to a biznode integration it's not so easy to clean it the correct way.
🤖AI prompt - I've used ChatGPT in this audit by asking it "how do I find if I have XX in my HubSpot account" which has been very good for when I don't find where I see certain information (as many things has changed in the design since the tutorials was created)

Hi everyone, I'm Joy, newly appointed HubSpot super admin for a mid-size company making automotive tools,  air tools, and more.  My general background is as a reference and research librarian with particular focus on user education and engagement with available tools (gotta hype what's available to make sure it's used!)  I'm here to learn the best practices for getting our HubSpot account set up properly and utilized to the fullest potential to build team enthusiasm for HubSpot.  Also to help make things run so smoothly on the backend that they don't even realize it's happening.

 

Win: I met with the sales team to discuss what would be happening with HubSpot over the coming weeks as far as data cleanup and some of the plans for improved functionality.  I also opened the communication channels to ask what functionality/data types would help them as we build this out more fully.

 

Hidden Gem: The Data Quality hub.  Based on the number of duplicates it found on its initial scan I will be spending a lot of time in here but I'm so thankful that a tool exists to help identify all of these data issues.

 

Pothole: I've begun my audits and it's all a mess.  We have all three hubs and they will all need a lot of attention.

 

AI Prompt: Since we don't have high quality data yet, my prompts have been to ask for help with best practices for formatting and automating some of the deduplication functions.

I need to post the most interesting thing I found during my audit here from Week 1.

I just completed the audit of a client's Marketing Hub.

The most interesting thing I found:

 

They ARE using HubSpot to post social media updates but AREN'T using AI or Content Remix to do this.

They also are using neither for their emails.

 

This I found surprising and I would like to get the team to utilize these capabilities more.

I'm Allyson, the CRM specialist for an EdTech company in the US. I signed up cause I live out of HubSpot daily at work. In the past it wasn't optimized and my goal is to make it the best I can for my sales team and company as a whole. I've been working this job for only 5 months and I've learned a ton, but I have more to go. 

Wins: I introduced goals to my sales team and created reports to help sales managers track them. They just used spreadsheets before. I love goals now!!!

Hidden Gems: Lead attribution to track tradeshow ROI (slowly but surely) is a fun find. 

Potholes: I'm struggling to report on meetings. Why is there a meetings object and meetings in the activity object. And why do they pull different information. I can't figure out why😣

Irene, Marketing Manager for a healthtech startup in the UK. This is my second role as "de facto" Hubspot admin. In my first company, I was mainly responsible for the marketing, but as people left, I took over more and more admin responsibilities. In my current role, I helped bring it in and set it up from scratch. I joined because I not only want to make sure I'm doing things in the best way, but I love learning and could see Hubspot being a bigger part of my role in the future.

 

Wins - I managed to convince my team that we should move away from inbox and conversations and to Help Centre (to implement when we're not as busy - baby steps!)


Hidden Gems - I created a "Direct communications" tab for emails, meetings, WhatsApps and SMS using the activities card on the contact record, so our customer-facing teams no longer need to filter things in/out on the Activities tab.

 

Potholes - Live chats aren't considered part of activities! It would be great to see this in the above-mentioned tab.

 

AI Prompts - to be honest, I don't use prompts within Hubspot for much other than creating segments and coming up with marketing email subject and preview suggestions

Hi everyone! I'm the Development Manager for a national racial justice nonprofit. I've been recently assigned as a Superadmin our HubSpot CRM so I joined this bootcamp to learn the skills necessary to help my team make the most of this platform. 

 

A big Win for Week 1 was identifying a broken integration between a HubSpot pipeline and an outside system that tracks revenue.

 

A Hidden Gem explored in Week 1 has been dashboards — I’m working to build some out for my team and getting acquainted with how they work has been very exciting.

A Pothole for Week 1 has been the current Deal naming conventions in our HubSpot which make it hard to identify the same Deals across pipelines.

 

As I’m still working to become acquainted with the AI functions in HubSpot, an AI Prompt that helped me during Week 1 was “What's the best way to format AI prompts?”

Hey everyone, I’m Hampus Isaksson, COO at Dedupely. We help companies keep their CRMs accurate by removing duplicates HubSpot, Salesforce, Pipedrive and CSV.

 

I joined the Super Admin Bootcamp to make sure our setup supports how we actually work, not just how it looks on paper. (I wanna know everything I don't know). 

 

Win This week, I (almost) finished a full audit of our Marketing Hub setup. It gave me a solid overview. Just that is a big win. 

 

Hidden Gem. The dashboards. I’ve used them for a while, but we’re planning to build some reporting that focuses more on the things our team can control, and not just reuslts. 

 

Pothole. Some of our ad and social accounts still aren’t properly connected to HubSpot, which breaks the attribution flow. It’s a small thing on the surface, but it creates a big gap (and it's annoying). That’s next on my list to fix.

 

AI Prompt. I used this one to summarize my audit notes and highlight where to focus next:

 

“Based on this HubSpot audit worksheet, identify which areas could be automated or reported on better.”

It saved me time and gave me a clear list of actions to bring back to the team.

Introduce yourself: I'm the Growth Marketer Operations Manager at 75F, an IoT Building Management System startup focused on making commercial buildings more efficient and sustainable. I started as an intern and quickly became our HubSpot super admin, managing all inbound/outbound marketing efforts while building automations, reports, and integrations. I've held this dual role for 2+ years. As our HubSpot admin, I'm looking to master the platform's full capabilities and understand how to align our CRM strategy with broader RevOps initiatives to better serve our business needs. Looking forward to connecting with you all and learning alongside everyone!

Wins – working to hire an intern to help manage our CRM while also increasing our outbound and inbound efforts.
Hidden Gems – Custom reports/dashboards allow you to use external sources within the dashboards. I've been able to attach our own HubSpot training videos and even our channel partner map that allows us to see all of our channel partners across the US. 
Potholes – Not enough time to do everything we want to do, but I am hoping the intern we are hiring will help with this! 
AI Prompts – I havent been using the HubSpot AI tool yet as when I tried it in Beta it struggled with some of my asks. That being said, I've "built" an AI within Perpelxity AI that feeds off our CRM data. I've been able to get it to review all of our socials, emails, CRM data, along with any important documents for those tools and best practices. This has helped us speed up how we work with our CRM and our outbound efforts

 – I managed to share new Hubspot features with my team that I learned from the webinar Fall 2025 Spotlight Roundup: What’s New in HubSpot for Marketers which I attended this week.

Hidden Gems – Just a smal, new feature in beta status, but I love it: Optimizing markeing e-mail send time - in general, but also on a individual level. 

 Potholes – Getting data privacy approval for certain ai features is a challange for me.

 AI Prompts – I regualry use AI to create LinkedIn posts from a briefing

Hi!  I'm Rebecca.  I'm a senior analyst and have been a HubSpot super admin for about 3 years.  I signed up for this bootcamp because my team seems to be using HubSpot in more non-traditional ways since I work for an EMO, and I want to ensure that we are using HubSpot to it's full potential.

 

Wins – I just unlocked the new Services Object feature, and it has helped my team to categorize hard-to-find services.  We needed a way to quantify unfilled therapy requests by certification and state, and the Services Object has most of what I need along with a few custom properties added.

 Hidden Gems – I've recently started to use object tags, and they've been great to visually capture import information that other users need to see right away.

 Potholes – I love the new features that can be displayed in the additional tabs on the center of each object, but I am having trouble figuring out what is most useful without getting so cluttered that people skip over it.

 AI Prompts – I use this for workflow descriptions most frequently, but recently I have used to more for reporting suggestions.
