Hello, I am Thomas - Admin in an M&A-company in Dresden, Germany. We are using HubSpot a couple of months now, and I got lucky to get choosen to attend the Super Admin Bootcamp 😉


Wins – I could substitute a few custom properties by the default HubSpot-properties, which makes more sense, because only so we are able to use in-built-features better.

Hidden Gems – Since September Data-Enrichment is included in our subscription, of course we activated it right away.

Potholes – We are still struggling with new duplicates a lot, since E-Mail-adresses differ often in the Top-level domain, so duplicates are not found automatically.

AI Prompts – use it espacially for the descriptions, because it saves a lot of time.

👋🏾 Hi, I'm Ashlie, a Solutions Partner from Virginia Beach, VA. I signed up for Super Admin Bootcamp because I want to ensure I'm using best practices. Plus, I get to meet other admins who are obsessed with keeping their HubSpot instances running like a well-oiled machine.  😅

Hidden Gems – It's not really a hidden gem, but Marketing Studio just rolled out in our portal, and I'm having fun exploring. Stay tuned... 

Potholes – Based on Week 1, our CRM needs an overhaul, but I'm ready to tackle it. 

AI Prompts – Working on a prompt to analyze campaign data and make recommendations.

Ashley Goldman - I joined Bootcamp to learn more as we just launch Huspot in March.

 

Wins: This week I was able to go through all of our project properties, clean them up, and assign all of them to a group.

 

Potholes:  Using Hubspot to it's full potential. Although we are new to the platform, it seems like we have a long way to go. Trying to learn to give myself some grace and set small quarterly goals to achieve to get there. 

 

Hidden Gem: Conditional Logic on Pipeline stages for information required at stage stage depending on deal type. 

 

AI Prompts: I use them alot - Workflows, activity information, deal information. So many good uses.

Greetings from Australia 🇦🇺, I’m Daniela. I joined the Super Admin Bootcamp to sharpen my HubSpot admin skills, explore new ways to keep portals running smoothly, and learn from how other admins tackle their challenges.

🏆 Win: Completed a marketing contact management audit for a client and made recommendations to mark only truly engaged contacts as Marketing. It will help improve deliverability and control contact-tier costs.
💎 Hidden Gem: I’ve started testing AI for creating workflows. It looks promising as a future time-saver, particularly for basic autoresponders and nurture sequences, though it’s still early days.
🕳 Pothole: Prioritising what to tackle first. There’s so much in HubSpot that it’s easy to get lost in the options.
🤖 AI Prompt: Still a work in progress, but I’ve been using prompts like: “Create a workflow where the goal is X. Use trigger Y, these emails, and delays of Z days between each send.”

Introduce yourself  - My name's Hannah Taylor. I'm a nerd by all accounts and was "scouted" to be my company's HubSpot admin due to my apparent love for computers. 😅 I've joined the Super Admin Bootcamp because although I've taken several HubSpot courses and have a pleritha of resources to learn HS from, I feel getting it at the source is always better. And... the shiny certificate to say I know what I'm doing. 😁

 

Wins – We had a long standing issue with one of the reports for our Business Development Executives not showing all the opportunities they had contributed to. It was tricky, but luckily someone else introduced a system that I was able to piggy back off of and build a few properties and then a report that displays accurately!

 

Hidden Gems – Conditional logic on record cards. A small but mighty feature that can be used to remove unneccessary clutter, but bring them back when needed.

 

Potholes – There are several systems in our CRM that desperately need fixing. They work... barely... but they are not at all refined and cause a load of errors.

 

AI Prompts – I've not finished this, but am currently working on a prompt to do the research our team does for them (for the most part). Hopefully reducing the time between enquiry to inital call.

Hi everyone! I’m Julia, based in Zurich - CRM specialist and HubSpot product owner at a Swiss company in the energy sector

🏆 Wins – I’ve started to get a better grasp of our data model and figured out how to tweak it for one of our teams so they can really get the most out of it.

💎 Hidden Gems – Gave the first agent (beta) for content generation a try and definitely worth exploring it more!

🕳 Potholes – Still pretty new in the role, and wow… there are so many properties. Digging through legacy data is a bit of a maze.

🤖 AI Prompts – I usually just ask Breeze things like “How do I do XYZ?” and find it super helpful plus having the links to the knowledge base is a good starting point for digging deeper.

 Introduce yourself – Hello All. I am Kelly, a small business consultant who is looking to improve small businesses’ back-office processes. Since Hubspot is a great option for small businesses who do not currently have a CRM system, I am taking this class to learn all I can about how to implement Hubspot efficiently to meet my clients needs.

 Wins – Getting through the homework has been a win this week! It’s been a real busy one.

 Hidden Gems – Thinking about the Hubspot system from the basis of 4 primary objects (contacts, companies, deals and tickets) has helped me grasp how this relational database works.

 Potholes – There is a lot to absorb. I see this as an exciting challenge.

 AI Prompts – Nothing yet, but I am excited to use Breeze.

🎤 Introduce yourself: Hi everyone! My name is Jenny and I'm the RevOps Director and HubSpot Admin for Biddle Consulting Group. We're a SAAS company with a pre-employment testing software in the Human Resoures market.

🏆 Wins – This has been a travel week for me. I've been on the road helping out at two tradeshows. Two wins for me are meeting current clients face to face and having a deeper understanding of what our sales team needs to be successful at tradeshows.
💎 Hidden Gems – I'm just starting to learn about Smart Properties and am working discerning how to use these for our portal. Nothing really to share yet but I'm very interested in digging deeper.
🕳 Potholes – Not being able to use auto associate contacts and companies. Many of our company records have the same domain so we're not able to use it as a key identifer. 
🤖 AI Prompts – I've been using Google Gemini quite a bit to help me decide what reports I need and how to create them for better tracking churn and our software renewals. I started with giving Gemini an overview of our software, our license model, and what properites we use in HubSpot to track the subscriptions. It's been very helpful as a thought partner to help me brainstorm reporting options.

Introduce yourself  Hi everyone!  I’m Christina from Texas. I work for a small company called My Hot Lunchbox, which connects schools with local restaurants to provide school lunches.  We are a small group that all wear many hats.  I manage our customer support team and recently took over owning all things Hubspot.

Wins I have started meeting with teams to understand the pain points they have and how they use the data.  Hoping to find some easy wins with small fixes. I am working on creating permissions for different teams within our organization.  Right now, everyone has access to everything.  Understanding roles to identify permissions is a priority, along with the data.  

Hidden Gems – Just learned that I could create workflows to submit CSAT tickets after sequences for my sales teams who don't have service access.

Potholes – I'm my own pothole.  I am not a technical person, and taking on this new role has been overwhelming while managing my team and our day-to-day operations.  The hardest part is keeping from feeling overwhelmed.
AI Prompts - Scheduled to deploy AI Agents in Service Hub this quarter, and am a frequent user of having the Breeze AI help with single object reporting!

Wins – Getting caught up on everything after recovering from COVID last week!

 Potholes – Trying to figure out an easy way to get rid of a bunch of associations that a client didn't actually want!

AI Prompts – Used ChatGPT a lot this week to update excel formulas for me for a project I was assisting a coworker with that needed a lot of different vlookups on different workbooks

Hi everyone!
I’m Jennifer, and I work at The Whole Pet Grooming Academy in New Hampshire. We are a DOE-recognized online school that offers certification and diploma programs for professional pet groomers. I handle a lot of the sales, administrative, and enrollment side of things, so HubSpot is my daily workspace.

Win of the Week: 

I finished auditing all of our forms, updating the ones that needed attention, retiring the unused ones, and fixing small issues along the way. It feels great to have one area fully cleaned up and working smoothly! My next project is to tackle the lists and workflows that connect to them.

Hidden Gem:
This is extremely small, but I discovered the Preview button in HubSpot, and it’s been such a time-saver. 

Pothole:
I realized just how messy our HubSpot portal has become. There are three of us working in it, and everyone has done things a little differently over time. Many of our custom properties were labeled as full sentences. This is going to be a huge project!

AI Prompt of the Week:
“Write a friendly and informative email to students who just paid for their program, congratulating them and giving them next steps. Keep it warm, upbeat, and student-focused.” I use AI a lot to refine emails and get the wording just right for our students.

🎤Introduce yourself - Hi all! I'm Mailo, a RevOps Manager based in SE Michigan. This is my first HubSpot Bootcamp and I'm really looking forward to learning better practices of how to keep my organization's CRM clean. We're not a large team, but we have a large amount of data so I'm working hard to be on top of it all as one of our Super Admins.

🏆Wins – I updated our Industry Groups to better categorize our industries within our ICP profile, which will be super beneficial for our ABM program.
💎Hidden Gems – I really appreciate branching workflows and bringing related workflows all into one vs creating multiple individual workflows to manage. It might seem like a beast at first glance, but the comments/notes feature on each workflow step really helps clarify your work for any newcomers looking in!
🕳Potholes – It feels like everyday that someone points out the messiness of our legacy data that was imported into HubSpot over a year ago. Since I only joined the company in April, it's been an uphill battle finding enough time to make a dent in the mess while also balancing other project priorities. 
🤖AI Prompts – No revolutionary prompts, but I do enjoy using Breeze for kicking off Segment filtering!

🏆 Wins – I A/B tested 3 subject lines for an email Marketing Campaign and based on the results, the winner was auto-selected. The winner was based off an open rate.

💎 Hidden Gems – I discovered how helpful certain AI tools such as Breeze Assistant can be used when creating workflows, making the entire process more efficient and less time consuming.

🕳 Potholes – Mastering and using newer and more innovative AI reporting tools in assisting me with troubleshooting an outdated ecosystem of un-filtered hidden or missed data.

🎤 Introduce yourself Hi! I'm Karen, working as CRM Manager in a fast-changing SaaS company with the mission to end Homelessness.

🏆 Wins – I am creating a data hygiene policy for the company.  It will take a lot to implement, but getting started on the policy feels good. 
💎 Hidden Gems – We just recently migrated to the seat-based model. While it has been challenging to update users so that the right seats have the right permissions (we use SCIM, so I have to rely on someone else to provision the user to the new sets), it has been a great opportunity to refresh and simplify our permission sets. 
🕳 Potholes – Our entire ecosystem is messy, so it feels daunting. The more I uncover, the bigger the job gets. I feel like I am running in circles.

Super Admin Fall 2025 Bootcamp – Week 1 Trailblazer Kickoff

Hi everyone! My name is Caitlyn, and I’m diving into all things HubSpot to better support our member marketing team with automated lifecycle campaigns.

Wins: I created a sample workflow in HubSpot and built nine marketing emails to include in it.

Hidden Gems: I discovered how helpful HubSpot AI can be for troubleshooting — it’s a powerful tool!

Potholes: Our internal CRM data feed to HubSpot is currently broken, which has slowed down testing.

AI Prompts: I used ChatGPT to build the initial workflow and Breeze to help troubleshoot when I hit roadblocks.

Hi everyone! Very late to the game because in typical admin fashion, I've had urgent priorities come up that required my attention. I'm the admin for three Hubs for the world's largest youth serving STEM education non-profit. I signed up for the bootcamp because it's time to take our portal into HubSpot 2.0 and finally take advantage of all of the amazing features HubSpot has added since we onboarded nearly 10 years ago.  

 

 Wins – Something you achieved this week, big or small, it all counts

- I successfully build an excel spreadsheet that pulls data from a more basic spreadsheet to import into HubDB, saving hours of manual entry/fixing entries for me. 

 

 Hidden Gems – A tool, feature, or workflow you uncovered that others might miss

- This is so hard! I think my favorite is copying values from one property to another object (something we have to do as we live in two different worlds). We just did this with a contact property and a lead property so our sales team can see everything in their lead view. 

 

 Potholes – Where you stumbled or what challenge(s) you are facing

- We were just migrated to the marketing contact model and needing to immediately adapt to setting contacts as nonmarketing, setting up automation to set other contacts as marketing has been a challenge. We're getting there, but it was a tough couple days.  

 

 AI Prompts – Any prompt that helped you get clarity, speed up, or unlock a better result.
- My favorite is the Breeze "summarize an article" prompt. It's been amazing for us to quickly spin up a starting point from a piece our PR team puts together.

Hi Everyone! I'm Francesco, and I work as a Business Analyst and CRM Manager. I joined the bootcamp to help improve our use of HubSpot and boost efficiency.

A recent WIN this week has been onboarding two new departments to manage their tickets through Help Desk, using them as a "testing group" before we transition the larger teams from the "older" ticketing interface.

For my HIDDEN GEM, I’ve discovered and started exploring the ability to set conditional properties or cards, which really improves the different objects views.
I ran into a POTHOLE while figuring out the best logic for automating close won/lost deals based on order statuses.
I’m also adding more AI PROMPTS to summarize and offer suggestions wherever possible in the CRM.

Hi! My name is Thais, and I'm on a fast track learning all I can about HubSpot as I'm the only RevOps in the company, and the tool has never been used to its real potential.

In my first week, I already met some of the structure I needed among a ton of tasks to get done in HubSpot. Helps prioritise.

In general, running my ideas by GPT and how I'd like to achieve them to confirm I'm on the right path and get some tips along the way. Have used Breeze mostly to question why things are not working as I'd expect, more of a support tool so far.
