Hidden Gems – I learned about and need to explore membership based or private HubSpot content  

Potholes – Still struggle generating a useful dashboard for campaign metrics that mimics our business and current systems

AI Prompts – When generating images, I input a similar image with the prompt to describe the image in detail, then I tweak the output and re prompt it asking to generate an image with the new description, getting myself closer to the result i hoped to achieve

💎 Hidden Gems – When I learned about mapping properties from meta, and not having properties listed as questions everything go a lot clearner, not so many duplicates in the system.
🕳 Potholes – I want to make complex systems but not feeling to confident at the moment. Example, building robust deal pipelines and complex workflows.
🤖 AI Prompts – To be honest, when I am really stumped, I screenshot my screen (with no contact info) and ask an ai what to do, because many times models dont account for frequent updates, which affects instrucitons.

Hey friends, I'm Leslie! I'm a digital marketing director at a curriculum development non-profit and I'm about three years into my HubSpot journey. I've been labeled as a Super-Admin the whole time without really having a well-rounded education surrounding the role. I'm so looking forward to learning more! 

Wins - this week we've kicked-off a properties audit which coincides nicely with the learning from Week 1. 

Hidden Gems - Property history and export functions have been crucial to seeing the 30,000 foot view of our environment.

Potholes - So. Many. Duplicates. 

AI Prompts - We're focused mainly on hygiene before introducing AI into the mix for our team but we do utilize AI in other ways outside of the platform. I find being very specific in my setup is helpful to more nuanced returns.

Hey, Super Admins! I signed up for the bootcamp as a new user of HubSpot who has been making it work until now. I've been guided by an old-school HubSpot user, but recognize that there are new features and contructs that can greatly enhance the efficacy of my team's productivity and I want to enable those features and provide proper enablement sessions for everyone.

 

 

 Wins – Shut down Super Admin access for everyone on my team who was given it when we set up - we apparently gave it out like candy!

 

 Hidden Gems – This week I learned that Documents are used to provide Sales access to items, while Files are a repository for everything. But the big learn was that putting something in Docs automatically puts it into Files, but NOT vice versa!

 

 Potholes – We're an education company and trying to set up the intricacies of Parent-Child relationships for school districts, charter schools, etc., has proven complex. Some share domain names, others have separate domains for each school - it's proven to be a challenge.

 

 AI Prompts – "You're a Super Admin for HubSpot working in the marketing department. What are key features that you should set up on your first day that might have been overlooked by previous users?"

Hi, I’m Ceyda — a Junior Digital Consultant at Massiveart, in Vorarlberg, Austria. I’ve been working with HubSpot for almost two years now. I started out with the HubSpot Academy courses back then and have been learning something new every day since.

In my first week, I learned a lot about the importance of data and how crucial it is for our CRM. It's a task we often try to avoid, but clean and structured data is absolutely essential for long-term success.

💎 Hidden Gems
Having a clear overview of all your properties is key. Always double-check before creating a new property — there’s often already something similar in place. Duplicates can easily sneak in and cause confusion later.

🕳 Potholes
I’ve struggled with building a clear view of all the properties tied to a customer. A lot of issues could have been prevented if we had taken the time to properly review the properties first. Importing everything at once might seem efficient, but it often leads to messy data.

I’m not using Breeze yet, but I’m looking forward to learning more about it and exploring how AI can support my work.

I signed up for the HubSpot bootcamp as I am brand new to HubSpot and the world of consultancy, having only just gradtuated from university last year. and working as a chef before that. I have currently been working on a data audit deck for HubSpot users. This week, I refined and completed an audit tool which will dipslay the data hygiene of HubSpot properties, based on their usage, fill rate and last updated time.

 

Hidden Gem:

Property exports and workflow exports. Using these exports will let you get a real overview of your data hygiene, and paired with the audit tools cureently being worked on, give instant, reliable insights into your HubSpot data hygiene.

 

Pothole:

Using custom code workflows and APIs for integration projects. Ensuring data security and token secrecy is extremely important.

AI Prompt:
When uploading property and workflow audit to ChatGPT, e.g. property - "I am carrying out a property audit task for a client. Using the core objects Contacts, Companies, Deals and Tickets, find me pattersn between the data which I can report on"

💎Hidden Gem – Smart content in marketing emails. It’s such a simple but powerful way to personalize messaging without needing multiple workflows or email versions.

🕳 Pothole – Trying to assign quote numbers in a customized sequential format that includes the year, version, and product identifiers. It’s been tricky to structure in HubSpot without external logic or custom code. Still exploring the best approach!

🤖 AI Prompt – “Help me troubleshoot why my HubSpot workflow isn’t enrolling contacts as expected.” Using ChatGPT to test logic paths and catch things I might overlook has saved time.

Hello all 👋 I'm Eloise, I'm now the CRM Manager for a pretty hefty events management and publication company formed of 17 separate brands, with many more to integrate in over the next 12 months!

 

Signed up for bootcamp as I'll be leading on all things HubSpot for a team of over 40+ marketers and content producers, to make sure we're using all tools as effectively as we can across our varied portfolios and juggling all the different needs that come with them!

 

  • 🏆 Win for the week - completed an audit of one of our portfolios (4 separate brands) looking at their email health and performance, and making recommendations and offering best practice.
  • 💎 Hidden gem - I'm working on a massive workflow to help nurture MQLs before they are passed onto the sales teams, using staggered email sends and the ability to book a meeting with the teams via connected Outlook calendars.
  • 🕳️ Pothole - I've inherited this massive database of just shy of 5,000,000 contacts, and 1.5 million of these are marketing contacts. So there is a lot of clean up that needs to take place of the entire portal!
  • 🤖 AI prompts - only recently started trialling Breeze over ChatGPT so will see how it goes!

Hi all, I'm Jover Rebosa based in Manila, Philippines. I signed up for the bootcamp to build new network of awesome HubSpot admins and share experiences, stucks, and solutions to help each other learn and grow in their journey with HubSpot.

Wins - I've successfully built a 1st draft of our customer agent for our website! And I'm really happy to get great feedback from our team to improve the agent and looking forward to fully implement it soon.

Hidden Gems - Segments (Lists) are absolutely a staple in data cleaning, it's not really a big highlight for others but as an admin who cleans and build workflows everyday. Segments are a great and fast way to pull contacts or companies who has gaps and errors.

Potholes - Back to Customer Agent, I noticed that it's not following the set of instructions I gave as a knowledge source. Ideally we don't want to make a sales quotes on it's one and I've been asking it to say something like "Would you like to be transferred to a sales representative for an accurate quote?". But it's ignore the document I placed.

AI Prompts - I mostly used Breeze copilot when I'm stuck on a workflow or agent draft.

Hi there, Bailey here 👋 based out of Auckland, New Zealand. I signed up for the bootcamp to learn about things I may not know or learn how to do things better as an adminstrator. I've been working out of HubSpot for over 6 years, mostly self taught. 

 

Wins – I designed a lifecycle framework for one of my clients - to hopefully implement into HubSpot soon.

 

Hidden Gems – Conditional properties - these open up so many possibilities. Also, custom association labels. One last thing, unenroll criteria for workflows. 

 

Potholes – That I don't know what I don't know. I continue to find new possibilities in HubSpot and I want to learn more so I can support my clients to get the most out of their system.

 

AI Prompts – I use Hub Helper Harry quite often when it comes to HubSpot specific stuff - especially for workflows and it just puts another perspective on designing and configuration.

💎 Hidden Gems – To the above point, happy to say there's a lot to explore within Buyer intent, specifically the fact that very customised views can be created and then shared in a recurring email digest.

Hey everyone! I’m Dorathy and I jumped into Super Admin Bootcamp because I want to get better at running multi-hub setups and make workflows feel less messy. My background is in ops, people ops, customer success, and startups. I’ve had the chance to wear a lot of hats and build scalable systems from scratch, and I’m excited to bring that mix of experience into HubSpot.

 

🏆Win: I actually sat down and mapped out my current setup this week. It felt good to see the whole picture instead of just reacting to things.

💎Hidden Gem: User roles and permissions — way more flexible than I thought. Already thinking of a few ways this could save headaches for my team.

🕳Pothole: Figuring out what to tackle first. There’s so much in HubSpot, it’s easy to get lost.

🤖AI Prompt: I asked AI to “make me a step-by-step checklist for auditing a multi-hub HubSpot account” and it gave me a great draft to work off.

Introduce yourself Hi, I'm Karen.  I've been a Super Admin for about 1.5 years for a medical software company in Canada.  

Wins – I am working on building spaces and collateral for one of our teams, so there has been lots of problem solving and research this week.

Hidden Gems – I love using the card "tags" found in companies, contacts, deals, and tickets.  They are great for quick reference in the board views.

Potholes – I've had requests for several new reports this week that are very sales-focused, and I'm struggling to figure out how to get the info the sales people want to see in their dashboards.

AI Prompts – Usually summarizing info - include a persona, number of bullet points wanted, remind it not to include info that is not from the article (i.e., don't hallucinate)

🎤 Introduce yourself: Hi, I’m Debra! We started using HubSpot in 2022 with Marketing Hub, and last year we fully transitioned from Salesforce by expanding into Sales, Content, and Service Hubs. Our team is eager to keep learning how to get the most out of HubSpot, and just as importantly, how to keep our database clean and healthy.

🏆 Wins – One of our biggest wins was seeing a business development associate step up as a Sales Hub champion, helping us drive adoption and set the tone for the rest of the team.
💎 Hidden Gems – We successfully connected our sales and marketing leads to use the lead scoring tool, getting everyone on the same page and creating alignment across teams.
🕳 Potholes – Our biggest challenge is speed. With teams already juggling so much daily work, carving out time for proper implementation has been tough.
🤖 AI Prompts – We’ve started using a NotebookLM for business terms, which has been a game-changer in helping our organization “speak the same language” consistently.

🎤 Introduce yourself - Hi, I'm Carly. I've been a HubSpot Admin since 2017 though I've never taken any official course on it. Thought it was time to make things official! I run my own consultancy and provide RevOps consulting for mid-market to Enterprise Sales-led companies. I provide CRM/MAP setup, optimization, and ongoing administration, and work in Salesforce, MCAE, and HubSpot primarily.

🏆 Wins – This week I presented my findings for an audit of a client's Marketing infrastructure and uncovered why they had no visibility in HubSpot into whether email marketing was doing anything for them --- they weren't creating Marketing Events that the emails were driving to.
💎 Hidden Gems – I'm really enjoying the new feature of being able to change + add objects in Reports while you're mid-creation of the report (instead of having to start from the beginning again). Now just do it for Emails (Single send vs Automated) as well!
🕳 Potholes – Formula fields in Reports are WHACK - HubSpot's own AI generates syntax that is incorrect and doesn't adhere to HubSpot's syntax, been waiting 3 days for Support from a human as the bot replies seem to not even be able to reference the correct properties.... Can't even find a syntax dictionary or comprehensive guidance on it.
🤖 AI Prompts – Not finding HubSpot built-in AI useful for Admin purposes, mistakes are still bad enough that it's not worth using🤷‍♀️

I’m a little over a year into my first HubSpot role as an Admin for an enterprise account, and I couldn’t be more excited. I’m looking forward to putting this knowledge to work and driving even more success for my company. Lets Goooo. 

 Wins – (Still in progress) Helping retention smoothly transition from using SurveryMoneky to Feedback Surveys in HubSpot. 

 Hidden Gems – customizing the Preview card for most used Objects. Most Users dont need to go into the record on every interaction or question. 

 Potholes – Creating dashboards that can visablly speak to stakeholders. Also, I stress out when it comes to picking the right colors.....

AI Prompts – I still use gpt/gemini more than I use Breeze but I find very helpful when needing to polish statemnts while in HubSpot.
