(This is the Week 1 thread. Look out for a new post each week so we can keep our insights organized and easy to find.)
Win: Fixed up properties - like 'renewal date' - now it actually works, no more babysitting deals. Hidden gem: Hover on any field, it tells you what object it's for. Pothole: I'm forever hitting no access walls, permissions are killing me. AI trick: I just say rewrite this messy email nicer, and boom, sounds like a pro.
I am Maggie, a HubSpot Solutions Architect at a HubSpot Solutions partner. Through this course I was looking to validate what I knew, find better ways to do things and fill in any gaps I had.
Win: Created a 4 pipeline IT Service Desk Configuration to set up a new IT team in HubSpot, getting them out of just using slack!
Pothole: While we're a HubSpot solutions partner, I don't think we're using HubSpot enough internally and I can't always find information I need.
AI prompt:Polished version of this post.
Win: I created a registration form
Hidden Gem: N/A
Pothole: I keep getting blocked from completing tasks due to not having the right permissions.
AI prompt: I used an IA prompt to pull key takeaways from our recent webinar feedback survey
Hi, My name is Erin, and I'm a Marketing Operations & Growth Manager. I joined to learn more about taking advantage of being a superadmin and how to help my team work smarter not harder!
A win: Bringing forth the security settings with our RevOps team and walking through how to be better.
Hidden gem: I learned about how the Breeze AI agent can help qith enriching data!
Pothole: Fidning the time and internal support to make operational changes with many other day-to-day projects going on.
AI Prompt – I've been asking AI to help with workflow logic and then helping build more complex or more simple scenarios depending on the level of management I want to have on that particualr workflow. It's like chatting it thorugh with a coworker.
Super Admin Fall 2025 Bootcamp – Week 1 Trailblazer Kickoff!!!
Hi, my name is Nastassia and I am a Junior CRM and Marketing Automation Manager. I’ve been working in HubSpot for just under a year and joined Boot Camp to deepen my knowledge and uncover features we might not be fully utilizing yet.
Wins: One of my recent successes was setting up different leadscorings based on content clusters.
Hidden Gems: Custom objects.
Potholes: One ongoing challenge of a customer has been making sure everyone is on the same page with processes and HubSpot usage.
👋Hi from MA. I am a sales and marketing operations manager currently operating in the higher ed space and have been Super Admin for several years across industries and roles aligning brands, leading sales teams, admins, marketing teams, managing web development, SEO and e-commerce, and unifying revops systems for people using those systems. I am taking this bootcamp now because I was able to get into this cohort (but I might have taken it sooner if the bootcamps were available to an unlimited # of participants).
WIN: In week one, I spent time making significant progress in cleaning up outdated or duplicate data records and streamlining workflows/automation to better support current and future business scaling (while at the same time renaming those workflows using a standardized nomenclature to help organize by workflow function, status, and program).
GEM: Spending time exploring less obvious uses of permission settings to delegate tasks safely and reduce admin bottlenecks without sacrificing control or security has led to creative new uses to tighten processes up.
POTHOLE: Managing multiple roles with fewer staff to delegate to has forced me to rely pretty significantly on automations while juggling multiple responsibilities.
AI PROMPT: I try to use AI to interrupt patterns rather than converge them so my AI prompts would be far too many steps to share in a discussion board. I do like being able to use HubSpot's native AI Summary to gain a quick summary from a high level view (like from the (beta) project pipeline) so I can decide what to zoom in on between meetings or in short bursts of time.
My name is Anwar Joseph. I work at Grow Resources in the capacity of IT specialist. My interest is more in networking and system administration.
Wins—migrating inboxes to helpdesk with ease. The fact that the channels can be carried over without having to be recreated from scratch is beneficial.
Hidden Gems—Discovering HubSpot data backup and being able to restore data effortlessly when needed.
Potholes—Not being that great as yet with workflows
My name is Dream Weaver-Hummel and I am the Technical Projects Manager at HFD. HFD is a healthcare financing fin tech. I joined the Super Admin Bootcamp because I am looking to step into a sales ops role in the future and it will lean heavily into Hubspot as our CRM.
Wins– Completed the audit for marketing and sales hub.
Potholes– I struggled going through the audits following the auditing course because the course itself is outdated and not everything is in the same place or called the same thing now.
Wins– Getting approval to hire a HubSpot Administrator to support me. Great to see the business investing in this function.
Hidden Gems– Automated 'inactive user' reports, ensuring we're not paying for seats we don't need (and helping catch any offboarded team members which haven't been passed from HR to me for deactivation)
Potholes– Limited functionlity on line item object making it impossible to create the detailed product group reports our sales team needs.
AI-Prompt – "Based on the attached position description and business case, please draft a Seek ad and LinkedIn post for the CRM Coordinator role".
A quick win I found on about a dozen reports was to change the selected fixed date range on the dashboard widget to to a “rolling date”. Now, the dashboards default with current and relevant data. Easy to do and it helps every one save a minute and makes their experience better.
🚀 Super Admin Fall 2025 Bootcamp – Week 1 Trailblazer Kickoff!!!
Hello! I am a Business Systems Manager for a digital fitness company. I have been a member of our technology team for several years, but I am a new super admin. I am so excited to really increase my skills with this bootcamp.
A Winfor Week 1 was uncovering all of the different aspects in our settings that I had not dug into yet. I see so many features we are not using!
AHidden Gemexplored in Week 1 has been the help desk feature - we need to further implement this for our client success team and enable the rulesets, and assign skillsets to users. This would be extremely useful.
APotholefor Week 1 has been dealing with an integration issue with SalesMessage and HubSpot. We use SalesMessage to send sms communication to subscribers to our programs. In our workflow action logs, the sms integration will show that the sms message is being sent, but it is not showing in the contact's record, and it is not showing in the sales message history either. The users are still enrolled in the workflow. We are unable to figure out why we are not seeing the sms message showing on their record history. Has anyone else experienced this #Superadmins?
The users even receive messages in the flow after specific messages that are not showing.
🎤My name is Mikey Dornelly, working as a Customer Success specialist and Business Analyst at Grow Resources, I have quite alot of interest in IT and development of processes.
🏆Wins - Successfully organized user permissions, making sure the right team members have access without exposing sensitive data.
💎Hidden Gems - Discovered how custom ticket properties and views can make it much easier to track support requests.
🕳 Potholes - Struggled with setting complicated user permissions and understanding what each setting affects.
🎤Introduce yourself: Hi everyone. I am Cathy Lamberth. I have been using HubSpot for 7 years. I started out as a consultant when I was asked to build out lead scoring in 2018. In 2020 I was hired on full time as the Marketing Operations Manager. I have two dogs, Caramel and Lexie. I love craft beer 🍻, margaritas 🍸 and college football season 🏈.
🏆Wins – I think the two biggest wins are adding more structure to my audit process and actually working on disciplining myself to take the time to do routine audits. 💎Hidden Gems – This week's hidden gem for me is connecting with other HubSpot admins. Our personal network is very important and I sometimes neglect that. I am grateful for all the HubSpot professionals who connect, answer questions, who offer great tips and tricks on LinkedIn, and who are very generous with their time. 🕳Potholes – My biggest pothole is always time. I support two organizations with 2 Salesforce orgs and one organization uses Pardot and the other uses HubSpot. 🤖AI Prompts – I continue to seek out prompts that improve processes, and that allow me to do other things.
Introduce yourself: Hello! I'm Ishi, the CRM Technical Lead at my company. I've been in on this career path for about 4 years now, but we only migrated to HubSpot last year, and I’ve been completely self-taught since then. Now that our system is stable and the foundational CRM architecture is in place, I wanted to make sure I have all the knowledge I need for my role and take this opportunity to refresh and strengthen my skill set.
🏆Wins – Something you achieved this week, big or small, it all counts - I ran a full data audit using HubSpot’s Data Management and Data Quality tools. I cleaned up formatting issues, removed duplicates, enabled automation rules, and deactivated unused workflows. It already feels much more streamlined!
💎Hidden Gems – A tool, feature, or workflow you uncovered that others might miss - I discovered Breeze Assistant for writing custom code within workflow steps and honestly, it’s amazing. It’s so much better than ChatGPT for this purpose, and the code worked on the first try because Breeze understands HubSpot’s context and structure perfectly.
🕳️ Potholes – Where you stumbled or what challenge(s) you are facing - I’m trying to find a pipeline-style alternative for contacts. Since our company has multiple brands, I’m exploring ways to manage contacts in a more structured, brand-specific way, similar to deal pipelines but without using the Branding add-on. Before we invest in that feature, I want to make sure we’re not missing any built-in tools or creative workarounds. (Any insights here would be super helpful!)
🤖AI Prompts – Any prompt that helped you get clarity, speed up, or unlock a better result - I often use AI prompts for custom code actions in workflows. For instance, I asked Breeze Assistant to write a custom code snippet that parses a HubDB table output, so I can reuse that data dynamically in customer communication workflows. It worked brilliantly!
🎤 Introduce yourself and why you signed up for Super Admin Bootcamp… then share a win, hidden gem, pothole, and AI prompt as described here: - Hello hello! I'm Savannah and I am the CRM Ops Lead for my company, I've been a HS champion for my company for the past 2 years and finally moved to a lead position this year. Now that i'm in this new position, I wanted to make sure I had all the knowledge I needed to continue being a champion for the platform!
🏆 Wins – Something you achieved this week, big or small, it all counts - I did an audit of the Contacts and Companies in my HS and was able to clean up any errors or duplicates.
💎 Hidden Gems – A tool, feature, or workflow you uncovered that others might miss - I just built a workflow that automatically assigns contacts/companies to a sales person based on industry. It's been working wonderfully. 🕳 Potholes – Where you stumbled or what challenge(s) you are facing - Getting the Sales team to use HubSpot. There's alwasy pushback to change and my company is having a hard time pushing the sales team to use the CRM system.
🤖 AI Prompts – Any prompt that helped you get clarity, speed up, or unlock a better result - I like to ask for step by step instructions on how to accomplish certain tasks in HS. If I've exhausted all my current knowledge and the HS forums and I still haven't found exactly what I'm wanting to do, I will ask the AI to help me out!
Introduce yourself- Hi im a newly started, self taught Hubspot implementaiotion and growth specialist for a revops consultancy and solutions parter, our head of hubspot suggested I take this boot camp.
Wins– Something you achieved this week, big or small, it all counts
reviewing the permissions sets for the company and finally getting superadmin access
Hidden Gems– A tool, feature, or workflow you uncovered that others might miss
there is a privacy & security analyse page that i found for a client whihc has auto reports on data hygiene which I was able to show the client instead of creating a new dashboard.
Potholes– Where you stumbled or what challenge(s) you are facing
permission sets for our staff on client portals are atrocious, partner seat set do not coming premade and somehow cause more time and issue waste than it should.
AI Prompts– Any prompt that helped you get clarity, speed up, or unlock a better result
too many to mention, i usually use it to find hidden settings or mena items, but the primpt will normally start with 'consider you are the most up to date version of hubspot and show me where......etc' otherwise i have to battle old UI returns
