I am looking to create an internal weekly company update using the eDM builder in HubSpot.
I want to include key company metrics and add who will be away on leave for that week, upcoming events etc.
As far as I have researched, I will need to either:
A) Add these in manually every week as image / text blocks OR
B) Configure a work flow that can automatically pull this information following a command OR
C) Build out a dynamic content module
I don't have a technical background and a bit overhwhelmed as there is a lot of information in the community but haven't found anything that quite answers my question.
Would someone perhaps have any ideas as to how I can approach this task or if there is an existing resource, point me in the right direction?
1. You only want to share reports: You can set a dashboard to be shared on weekly/monthly/quarrterly basis to specific roles/emails
2. You want to add comments on your weekly/monthly/quarterly digest: By adding text on your dashboard you'll be able to comment the number of each report/group you want - be sure you don't forget to make that before it's sent.
3. You want to have a complex digest with conversion rates, forecasting, etc: As we know Hubspot still lacks the ability to make calculations on reports with that in mind I've 2 solutions:
3.1 Simple one: If you simply want to share CVRs between stages let's say Lead to MQL you can do it quite easily if you create a checkbox property called badge that everytime an MQL, SQL, Opp, Won, Lost date is set on a contact/company/deal the referring badge of that MQL, SQL, Opp, Won, Lost should be set as yes.
On the example below you see a report checking the CVR from MQL to SQL on a random time-frame. It works by setting MQL date as filter and getting the badge to check the CVR of the time-frame you defined.
3.2 Complex one: If you want something more complex like having performance metrics of each AE targets for the quarter - You'll need to use custom objects.
Why do you need that? Each default object on Hubspot it's unique therefore you can't for example add a calculation property on a deal to give you the number of deals the AE Owner of that deal has targeted because each one of them will have that number and it will appear summed up on a report.
How can you tackle this challenge? First you should define EXACTLY what you want to track. Let's use the same example [We want to track from each AE targets how many were won and how many were lost].
a) You'll need to create the custom object - let's call it "Calculations" b) That object needs to have at least 2 identifiers - 1 to distinguish from future metrics you want to track - 1 to distinguish between the same metric e.g: in this example you'll have several "Calculations" with the first identifier as "AEs Target Performance" and as second the name of the AE and the quarter/year "JohnQ42024" c) Inside of the object you should have properties you want to sum up (Target Deals; Won Deals; Lost Deals); - Those properties should sum the number of associated deals d) Now we need to create reports that everytime an AE sets a target date for a specific date it should associate or create a new calculation. e.g: if John sets Deal X as target for the current quarter it will be associated to the calculation JohnQ42024 if we sets Deal X as target for a calculation object that was not created the workflow should create that new object JohnQ22026 c) Lastly you should create properties to calculate (%) between the total of targets, the win rate and the lost rate. It will look similar to the print below.
I know this is a lot so I advice you to start with the first options and only than thinking about the complex option. Hope this helped you!!
