Data Privacy - So much text and three boxes to tick

How can we reduce the amount of text and three tick boxes for our new forms.

We seem to have a lot of text and three tick boxes appear in our forms with the GDPR turned on. Is this normal?
We wish to collect 'consent' to market to people and 'notify' users that we host their data and may want the sales team to contact them (one to one).

Do we need all three or choose one?
Can we reduce the size of the text? It is currently 16pt, which makes the data privacy area twice as big as the form.
Could we have one tick box and link to our existing terms and conditions?
What's the normal practice?

Hi @DJames79,

 

When you're in the form editor, you have different options for how many checkboxes you want to display, e.g. if data processing consent should be implicit:

Regarding the text length, keep in mind that this text is simply a suggested text by HubSpot – working with your data privacy or legal team, there's no reason why you couldn't adjust or shorten it. You can either adjust it centrally in the settings or directly in the form: https://knowledge.hubspot.com/privacy-and-consent/set-default-notice-and-consent-language-for-gdpr-e...

 

In a free and Starter subscription, yes, every subscription consent you want to gather requires a separate checkbox. In Professional and Enterprise portals you can workflows to automatically set opt-ins for additional subscription types based on just one checked box.

 

As far as the font size goes, you can make those changes in the style tab of the form editor:

So overall, you can customize a lot – it's mostly up to what your legal team or data privacy team says.

So, to reduce the text (i.e., the amount of copy), you can manage that inside of your Settings. This is the "default consent option" and can be adjusted Globally. Screenshot below.

You can also adjust your form settings (see screenshot) to handle this at the individual form level. This will allow you to choose what and how to display the copy and update it individually  – you can handle that in the style editor on the form.

How you handle the tick boxes should be governed by your organization and its data privacy guidelines—there isn't a one-size-fits-all solution.

Thank you @pashairshad  like the below, that now makes sense - one-size-fits all. I had presumed I needed them all on to be compliant.

I hunted for this option to change the data privacy text size, but it's not there. I looked into why, and I think it's because I'm using the New Forms editor. I checked with our developers, and they see a screen with an option for Legacy or New forms. I get a blank page! So it defaults to new when clicking on next. I think it could be a browser issue.

@DJames79 the new form editor does not support raw HTML and custom CSS just yet – there aren't styling settings for the privacy text (yet). You would have to accept the size or switch to the legacy form editor.

@karstenkoehler  Thank you. So it seems my Safari browser is the issue not showing me the option to choose Legacy. Switched over to Firefox and I can see the two options now.

Thank you @karstenkoehler  I had wrongly presumed I needed them all on every form to comply. What you say makes sense. I hadn't seen that style & preview pane before, I'll check it out now. Much appreciated
