Huge Difference between the Total Number of Contacts and Recipients for Email

Hi Community,

I’m encountering issues with my HubSpot account and need some guidance:

  1. I have a total of approximately 9,500 contacts in my database, but when attempting to send a mass email, only 4,968 recipients are being included. Why is this happening, and how can I address it to ensure the email reaches all 9,500 contacts? (screenshots attached)

  2. Additionally, I’ve noticed that 1,844 contacts are excluded from the email. How can I include them in this email or send it to them separately?

Any advice or steps to resolve these issues would be greatly appreciated.

Hi @VHC1,

 

The fastest way to find out would be sending the email, then checking Recipients tab and Not sent section of the sent email. (You could then simply create another send for the omitted contacts, once you've found the reason.)

Most common reasons are the following:

 

Are you using the marketing contacts functionality? If yes, are all recipients marked as marketing contacts? (HubSpot will not send emails to non-marketing contacts.)

 

Do you have the GDPR settings enabled? If yes, you might have restricted email sends to contacts who have a legal basis for communication only. In that case, you would have to update your contact subscriptions.

 

Other reasons for omission could be:

 

Do all contacts have an email address?

 

Have some of the contacts previously bounced? You can check by filtering your recipient list by "Email hard bounce reason is known". This could also be global bounces (contacts that did not bounce in your portal but three other HubSpot portals).

 

Did you already hit your monthly email send limit? (5X marketing contact tier)

 

Have some of the contacts previously unsubscribed? You can check by filtering your recipient list by "Unsubscribed from all email is equal to True"

 

If the contacts are not shown under Not sent, you would have to follow these steps: https://knowledge.hubspot.com/marketing-email/contacts-not-receiving-your-marketing-emails
