Adding an Email Alias Property to a HubSpot User's Record

SOLVE

Here's what I am trying to do - I have a number of sales people, and when I send out emails on their behalf, I use the HubSpot Owner token for the sender, and email signatures.

So far so good.

But what I need is to have is an email alias for each user (already created in gsuite) for the "reply-to" address. We want this because we want that response to go to multiple people.

I want to add a custom property for this to each user's record, and then to be able to call that property as a token. It's essential that each user has their own alias - I do NOT want to use a catch-all reply address - I want sales to get their responses, but I also want marketing to see them directly to deal with any "Remove me from your d*amn list" type of replies, and to see what people are saying when interested in what we have on offer.

So, how do I do this? If I can add a custom property to a contact, I should be able to add a custom property to a user, right?

But, for the life of me, I can't figure this ouit.

Adding an Email Alias Property to a HubSpot User's Record

SOLVE

Hi @Billsen,

I would use a Workflow to set that property. So the steps would be:

  • Create your custom property for email alias as a contact property
  • Create a workflow that enrolls when contact owner is known
  • Create if/then branch looking for each of your reps as contact owners
  • Under each individual if/then statement, use the "set property value" action
  • Set the property value for the custom alias property you created to reflect the alias for each rep based on ownership

I'd be happy to connect with you on a Zoom call if that would be helpful.

Adding an Email Alias Property to a HubSpot User's Record

SOLVE

Thank you, Sharon.

I tried creating a new property, "Alt Email Address", which I did, but I can't figure out how to tie that to the HubSpot owner record. That's where I need it, so that I can use the alt address as a personalization token for the reply-to field. This has to be dynamic - I cannot use one alias for all reps as that would mean all of the reps would get the replies meant for one rep.

Thanks again for the help. This is a big issue for me and the team.
